Apply & track with Apply EdgeRole DescriptionThe Head of Administration / Shared Services Administrator / General Affairs Director leads administrative, workplace, and shared-services functions that enable the organisation to operate efficiently, consistently, and compliantly. This role oversees core business-support services, including office administration, facilities, procurement coordination, vendor management, records, employee services, and general-affairs activities.The position works closely with leadership, Finance, Human Resources, IT, Legal, Procurement, Facilities, Security, and external service providers. Responsibilities include setting administrative policies and service standards, managing office and facilities budgets, coordinating contracts and suppliers, improving shared-service processes, overseeing workplace operations, and ensuring that employees receive timely and reliable administrative support.At leadership level, the role develops scalable operating models, strengthens internal controls, improves cost efficiency, and leads service-improvement initiatives across locations or business units. It ensures compliance with company policies, health-and-safety obligations, data-handling requirements, and local administrative regulations, while building a responsive, professional, and customer-focused support function.QualificationsBachelor’s degree in Business Administration, Management, Facilities Management, Operations, Finance, Human Resources, or a related field.Master’s degree, professional administration qualification, or relevant senior-management experience is an advantage.Significant experience in administration, office management, shared services, general affairs, facilities, business support, or operational coordination.Proven experience leading administrative teams, workplace services, shared-service functions, or multi-site office operations.Strong understanding of office administration, facilities management, vendor management, procurement coordination, records management, and employee services.Experience developing administrative policies, service standards, standard operating procedures, and process-improvement plans.Ability to manage office, facilities, administrative, and service-provider budgets, including cost-control and vendor-performance activities.Experience managing contracts, suppliers, maintenance providers, office leases, workplace equipment, security services, cleaning, and other business-support arrangements.Strong knowledge of internal controls, document management, data privacy, confidentiality, health and safety, and workplace compliance requirements.Ability to improve shared-service processes through automation, standardisation, centralisation, and service-performance measurement.Experience supporting business continuity, crisis coordination, office relocations, new-site openings, workplace changes, or organisational growth is advantageous.Proficiency with Microsoft Office or Google Workspace and familiarity with ERP, procurement, facilities, document-management, HRIS, or workflow systems.Strong stakeholder-management, negotiation, communication, problem-solving, and project-management skills.Ability to manage sensitive information, competing priorities, and operational issues with sound judgement and professionalism.Professional written and spoken English; additional language skills are an advantage for regional or international roles.
