Because we operate in an ultra-luxury, highly customized design-build envelope, our success relies on our ability to price complex creative concepts with precision before construction begins, while maintaining complete control over our supply chain, material costs, and trade subcontractor networks. To bridge our creative vision with commercial excellence, we are seeking a strategic Head of Estimating & Procurement. Reporting directly to the Chief Financial Officer, this individual will serve as the ultimate commercial manager of our project pipeline. You will oversee end-to-end project pricing, lead vendor and subcontractor negotiations, manage supply chain logistics, and analyze post-project cost data to protect profit margins and drive operational profitability. Responsibilities:PROJECT ESTIMATING & CLIENT PRICINGBuild end-to-end, line-item budgets for upcoming projects, including internal and subcontractor labor hours, materials, and NYC urban logistical fees. Partner closely with the Design & Installations teams during schematic and construction documentation phases to ensure creative concepts are accurately captured in project budgets before client presentation. Apply strategic firm markups to generate clear, professional client proposals during competitive pitches and contract assemblies. Collaborate with bookkeeping during project engagement phases to track billing milestones and document financial progress. STRATEGIC SOURCING & VENDOR NEGOTIATIONS Identify, vet, and build long-term commercial partnerships with premium nurseries, custom fabricators, stone quarries, and specialized trade subcontractors. Negotiate Master Service Agreements (MSAs), subcontractor terms, and trade discounts to drive down purchasing costs without compromising design integrity. Maintain and expand the firm's central Material & Vendor Price Library, ensuring Estimating formulas reflect real-world market pricing. SUPPLY CHAIN LOGISTICS AND RISK MITIGATION Oversee the end-to-end logistics pipeline for active projects. Coordinate complex urban delivery schedules, tracking lead times for all materials to prevent site delays and re-scheduling. Design and implement scalable purchasing workflows, purchase order (PO) tracking systems, and material inventory frameworks across the firm's project pipeline. CROSS-DEPARTMENTAL COLLABORATION & POST-PROJECT ANALYTICS Constantly feed real-world market pricing, supply chain bottlenecks, and material availability data back to the Design and Estimating teams to ensure future pitches are accurately budgeted. Analyze "estimated vs. actual" post-project financial data to refine predictive pricing formulas, identify cost overruns, and capture hidden margin erosions. Required SkillsCommercial & Estimating Acumen: Proven track record building line-item construction budgets, performing financial variance analysis, and managing margin structures in Excel/financial tools. Procurement & Negotiation Mastery: Background in strategic sourcing, vendor cultivation, Master Service Agreement (MSA) negotiations, and contract management within luxury design-build, general contracting, or specialized manufacturing. Logistical Discipline: Experience coordinating complex freight, custom fabrication lead times, and site delivery schedules within dense metropolitan markets. Collaborative Leadership: Demonstrated ability to partner with creative, field, and financial teams, translating complex spatial designs into structured, profitable budgets and purchasing plans. Preferred SkillsExperience working on Operations within New York City or comparable metropolitan markets, with a strong understanding of the client-service demands unique to urban environments. A degree in Supply Chain Management, Logistics, Business Administration, or Operations Management is welcomed, but field mastery, commercial drive, and leadership capability are our primary metrics for success. 5–10+ years of progressive experience in commercial management, cost estimating, procurement, or operations within high-end residential, boutique commercial, or luxury design-build environments (NYC metropolitan market experience preferred). Advanced proficiency in Excel/Google Sheets modeling, construction management software, and purchase order management platforms.
