We are looking for an organized hospitality professional who can manage reservations while providing timely and helpful support throughout the guest journey.The RoleWe are seeking an experienced Hotel Reservations Assistant / Accommodation Assistant / Guest Services Assistant to support hotel bookings, reservation changes, guest inquiries, accommodation arrangements, documentation, and coordination with hotel partners.The ideal candidate is customer-focused, detail-oriented, and comfortable managing multiple reservations, requests, deadlines, and guest communications.Key ResponsibilitiesAssist with hotel, resort, serviced-apartment, and accommodation reservations.Receive and process booking requests through email, phone, websites, booking platforms, travel agencies, and partner systems.Check room availability, rates, occupancy, room types, inclusions, policies, and booking conditions.Confirm reservations accurately and issue booking confirmations, vouchers, itineraries, and accommodation details.Maintain accurate records of guest names, contact information, reservation dates, room preferences, payment status, and special requests.Communicate professionally with guests regarding availability, rates, check-in and check-out times, hotel facilities, policies, and reservation conditions.Coordinate with hotels and accommodation providers regarding bookings, amendments, cancellations, upgrades, room requests, and special arrangements.Monitor reservation status and follow up on pending confirmations.Handle booking modifications, date changes, room changes, extensions, cancellations, and approved refunds according to company procedures.Coordinate early check-in, late check-out, airport transfers, transportation, extra beds, accessibility requests, and other approved guest requirements.Communicate special occasions, VIP arrangements, group requirements, corporate bookings, and guest preferences to accommodation partners.Prepare arrival and departure lists and share relevant information with authorized hotel or operations teams.Coordinate with front-office, housekeeping, concierge, transport, travel operations, and customer-service teams where required.Respond promptly to guest questions, complaints, booking discrepancies, and service requests.Assist in resolving reservation errors, overbooking situations, missed confirmations, room issues, and accommodation-related concerns.Escalate significant guest complaints, payment disputes, safety concerns, or contractual issues to the appropriate manager.Process or coordinate approved payments, deposits, refunds, amendments, and booking adjustments.Maintain accurate records of invoices, booking charges, commissions, supplier rates, and payment documentation.Assist finance and operations teams with reservation reconciliation and supplier documentation.Maintain an updated database of hotels, room types, rates, facilities, policies, blackout dates, and booking conditions.Monitor hotel partner performance, availability, pricing, service quality, guest feedback, and response times.Support corporate accommodation programs, group bookings, long-stay arrangements, and special travel requirements.Assist with promotional campaigns, seasonal accommodation packages, hotel partnerships, and travel offers.Research new accommodation providers and identify opportunities to improve availability, pricing, service quality, and guest experience.Prepare daily, weekly, and monthly reports covering bookings, cancellations, amendments, revenue, occupancy, supplier performance, and guest feedback.Maintain confidentiality of guest personal information, payment details, travel plans, commercial terms, and supplier agreements.Follow company policies, hotel agreements, customer-service standards, data-protection requirements, and applicable UAE regulations.Identify opportunities to improve reservation accuracy, response times, guest satisfaction, and accommodation operations.RequirementsDiploma or Bachelor’s degree or equivalent qualification in Hospitality Management, Hotel Management, Tourism, Travel Management, Business Administration, or a related field is preferred.3+ years of professional experience in hotel reservations, front office, guest services, travel operations, accommodation, or hospitality is preferred.Strong understanding of hotel reservation processes, room types, rates, booking conditions, cancellations, and guest-service procedures.Excellent spoken and written English communication skills.Additional languages such as Arabic, Hindi, Urdu, Mandarin, French, Russian, or German are advantageous.Strong customer-service, communication, organization, and problem-solving skills.Excellent attention to detail when handling guest information, booking dates, rates, confirmations, and special requests.Ability to manage multiple reservations and guest requests simultaneously.Strong follow-up and coordination skills with hotels, suppliers, travel partners, and internal teams.Ability to remain calm and professional when handling urgent changes or guest complaints.Proficiency in Microsoft Excel, Word, Outlook, Google Workspace, CRM, PMS, and reservation platforms.Experience with Opera PMS, Amadeus, Sabre, Travelport, Booking.com partner systems, or comparable platforms is advantageous.UAE or GCC hotel, resort, tourism, or travel-industry experience is advantageous.Existing relationships with hotels, resorts, serviced residences, or accommodation providers are advantageous.Hospitality, tourism, travel, or
