Role OverviewThe HR and Operations Specialist supports the Clinic Manager in managing HR administration, employee visa and residency processes, PRO coordination, and day-to-day clinic operations. The role involves maintaining employee records, coordinating with internal departments and external service providers, monitoring deadlines, and ensuring timely completion of administrative and operational tasks.Key ResponsibilitiesManage HR administration, including employee records, contracts, onboarding, offboarding, and personnel documentation.Coordinate UAE visa applications, renewals, cancellations, work permits, Emirates ID renewals, and medical fitness procedures.Liaise with PRO service providers and relevant authorities to ensure timely processing of visa and immigration requirements.Maintain trackers for visa expiries, employee documentation, contract renewals, and other time-sensitive requirements.Coordinate employee medical insurance enrolments, renewals, and cancellations, where applicable.Support the Clinic Manager with day-to-day clinic administration, operational projects, and cross-branch assignments.Liaise with Corporate Finance and IT regarding approved requests, payments, employee system access, and administrative requirements.Monitor outstanding tasks, deadlines, and pending requests, ensuring timely follow-up and escalation where necessary.Maintain accurate, confidential records and organised digital filing systems.Identify opportunities to improve administrative processes and ensure compliance with company procedures and applicable UAE requirements.RequirementsMinimum 2 years of relevant experience in HR administration, operations coordination, or a similar role.Good practical knowledge of UAE visa renewals, work permits, Emirates ID procedures, and visa cancellations is essential.Experience coordinating with PRO service providers and handling employee documentation.Degree in Human Resources, Business Administration, Healthcare Administration, or a related field, or equivalent relevant experience.Strong Microsoft 365 skills, particularly Excel, Word, Outlook, and Teams.Excellent organisational, communication, follow-up, and time-management skills.High attention to detail and the ability to manage multiple priorities and deadlines.Ability to handle confidential information with discretion.Familiarity with healthcare administration, clinic operations, and UAE healthcare licensing requirements is an advantage.
