قدّم وتابع مع أبلاي إيدجHR Operations SpecialistJob SummaryWe are seeking a highly organized, detail-oriented, and client-focused HR Operations Specialist to join our team in Riyadh.The successful candidate will be responsible for executing and coordinating daily HR operations, employee lifecycle processes, administrative activities, government transactions, and client communication.The position requires practical knowledge of Saudi labor regulations, HR procedures, and Saudi government platforms, as well as strong communication and follow-up skills. The candidate must be able to handle HR and government transactions independently, communicate professionally with clients, and ensure that requests are completed accurately and on time.Key Responsibilities1. HR Operations & Employee RecordsMaintain accurate, complete, and confidential employee records.Create, update, and organize physical and electronic employee files.Update employee information throughout the employee lifecycle, including hiring, transfers, promotions, and termination.Ensure all required employee documents are complete, valid, and properly archived.Maintain accurate HR system data and prepare information required for reports.2. HR DocumentationPrepare, review, and issue employment contracts and HR documents.Prepare offer letters, joining letters, promotion and transfer letters, warning letters, termination letters, and clearance documents.Ensure all HR documentation complies with Saudi labor regulations and company policies.Maintain proper records of all HR transactions.3. Employee OnboardingExecute onboarding procedures for new employees.Collect and verify required employee documents.Complete HR system registrations and required government procedures.Process employee registrations through the relevant government platforms.Coordinate employee orientation and ensure completion of onboarding requirements.4. Employee OffboardingExecute employee termination and exit procedures.Prepare and process clearance documents.Conduct or coordinate exit interviews when required.Follow up on company assets and employee clearances.Execute required system access deactivation.Complete all internal and government procedures related to employee separation.5. Saudi Government PlatformsThe candidate must have practical experience using Saudi government platforms related to HR and employee affairs, including:QiwaGeneral Organization for Social InsuranceMudadMuqeemAbsher BusinessMinistry of Human Resources and Social Development platformsMinistry of Interior platformsOther government platforms related to employees and companiesResponsibilities include:Employee registration and data updates.Work permit issuance and renewal.Residence permit procedures and renewals.Employee transfers and related services.Social insurance registration and removal.Wage Protection Program procedures.Government compliance transactions.Following up on all government transactions until completion.6. Client Communication & Follow-UpCommunicate professionally with clients regarding HR, personnel, and government-related services.Receive and respond to client inquiries through approved communication channels.Follow up with clients regarding required documents, information, approvals, and pending actions.Provide clients with accurate and timely updates regarding their requests and transactions.Explain HR procedures and government requirements clearly and professionally.Follow up on client requests until completion.Coordinate with internal departments to resolve client requests and service-related issues.Maintain accurate records of client requests and follow-ups.Respond to client inquiries within the required service response time.Escalate complex or sensitive issues to the relevant manager when necessary.Maintain a professional and service-oriented relationship with clients.7. HR ComplianceExecute HR procedures in accordance with Saudi labor laws and regulations.Ensure employee documentation meets legal and organizational requirements.Follow updates to Saudi labor regulations and related requirements.Support internal and external audits by preparing required documents and reports.Ensure HR and government procedures are completed within applicable deadlines.8. Payroll SupportCoordinate with the Finance Department regarding employee payroll information.Prepare and verify monthly payroll variables.Review attendance, absences, leaves, and other payroll-related information.Submit accurate payroll data on time.Identify and follow up on payroll discrepancies.9. Employee RelationsRespond to employee HR inquiries and requests.Explain company policies, procedures, and employee entitlements.Follow up on employee requests and provide appropriate support.Handle employee information confidentially and professionally.Escalate matters requiring management decisions when necessary.10. Benefits & Medical InsuranceExecute employee enrollment and updates related to company benefits.Process additions, deletions, and changes.Coordinate with insurance companies and service providers.Maintain accurate employee benefits records.Follow up on medical insurance-related issues.11.
