Job Purpose:The HR Operations Supervisor is responsible for overseeing daily HR operations and employee affairs, ensuring that HR processes, policies, and procedures are implemented efficiently and accurately. The role provides operational support to branches and departments within a retail environment, while ensuring compliance with applicable labor regulations, Saudization requirements, social insurance, medical insurance, and government-related employee services.Key Responsibilities:Supervise daily HR operations and employee affairs activities in accordance with company policies and procedures.Manage and monitor the administrative aspects of the employee lifecycle, including onboarding administration, transfers, promotions, job changes, leaves, and end-of-service procedures.Maintain and update employee records, files, and HR databases, ensuring accuracy, completeness, and confidentiality.Monitor attendance, absenteeism, lateness, leave requests, and working schedules, coordinating with branches and departments to resolve discrepancies.Coordinate employee payroll-related data and ensure the accuracy of attendance, leave, deductions, and other employee information prior to payroll processing.Monitor Saudization (Nitaqat) ratios and compliance requirements, ensuring accurate employee classifications and data that impact Saudization percentages.Prepare and maintain reports related to Saudization levels and follow up on compliance requirements and observations.Manage and follow up on GOSI (General Organization for Social Insurance) transactions, including employee registration, removal, data updates, and contribution-related matters.Manage and coordinate medical insurance activities, including employee additions, deletions, updates, and coordination with the insurance provider.Handle and follow up on employee transfer of sponsorship/services (Iqama transfer) and ensure completion of the required procedures in accordance with applicable regulations.Coordinate and follow up on visa issuance and renewal procedures for employees, ensuring all required documentation and approvals are completed.Follow up on Iqama issuance, renewal, and employee information updates for expatriate employees.Coordinate airline ticket bookings for employees in accordance with company policies, including travel related to annual leave, business travel, joining formalities, and end-of-service.Coordinate employee travel arrangements with relevant departments and ensure travel requirements are completed on time.Maintain and monitor employee contracts, official documents, and HR records, ensuring they are properly updated and filed.Handle employee disciplinary procedures and violations in coordination with management and relevant HR functions, in accordance with company policies and applicable regulations.Provide HR operational support and guidance to branch managers, supervisors, and employees regarding HR policies, procedures, and employee-related matters.Respond to and resolve employee inquiries and operational HR issues, escalating complex matters when required.Prepare and review regular HR operations reports covering attendance, absenteeism, leaves, employee movements, turnover, Saudization, GOSI, medical insurance, and other employee-related matters.Coordinate with Finance, Operations, IT, government authorities, insurance providers, and other external parties on employee-related operational matters.Ensure consistent implementation of HR policies and procedures across all branches.Identify opportunities to improve HR operational processes, increase efficiency, and minimize administrative errors.Ensure compliance with applicable labor laws, regulations, Saudization requirements, and internal company policies.Supervise and allocate tasks to HR Operations/Personnel team members and monitor their performance and service quality.Manage HR operations within a multi-branch retail environment, including shift-based employees, varying work schedules, and a large employee population.Qualifications & Experience:Bachelor's degree in Human Resources, Business Administration, or a related field.Relevant experience in HR Operations and Employee Affairs/Personnel Administration.Previous experience in the retail sector, preferably within a multi-branch environment.Strong knowledge and practical experience in Saudization requirements and compliance ratios.Number of years of experience: 5 to 6Experience managing GOSI transactions and employee records.Experience managing medical insurance processes and employee coverage.Experience handling employee service/sponsorship transfers and related government procedures.Experience with visa issuance and renewal, Iqama procedures, and expatriate employee documentation.Experience coordinating employee airline ticket bookings and travel arrangements.Good knowledge of Saudi labor regulations and government-related HR procedures.Experience using HR systems and maintaining employee databases and records.Strong reporting and data analysis skills.Good command of Microsoft Office and HR information systems.
