Job Summary The HR & Admin Specialist is responsible for carrying out HR and personnel activities for the UAE Branch. The position ensures that local HR records and procedures are completed accurately and in line with company policies and UAE requirements, while coordinating with the HR Kuwait team.

Key Responsibilities

Process and follow up on work permits, employment contracts, entry permits, medical tests, Emirates IDs, residence permits, renewals and cancellations, ensuring that the required documents are completed and submitted on time.Maintain accurate expiry trackers and begin the required renewal procedures sufficiently in advance to avoid delays or document expiration.Coordinate with the PRO, government authorities, service centers and insurance providers to complete transactions and resolve documentation-related issues.Maintain complete and updated employee files, and HR records while ensuring the confidentiality of employee information.Prepare HR letters, employment and salary certificates, NOCs and other correspondence in English and Arabic as required.Support employee onboarding, transfers and separation formalities by collecting documents and following up on the required procedures.Respond to employees’ personnel-related inquiries and guide them on the required documents and applicable procedures.Coordinate medical insurance additions, deletions and renewals and maintain the related employee records.Maintain Emiratization records and assist with Nafis and UAE national pension registration and update procedures.Provide regular Emiratization updates and highlight upcoming deadlines, missing documents or required actions to the concerned teams.Coordinate with the HR Kuwait team regarding UAE recruitment documentation and joining formalities, payroll inputs such as attendance, leave and employee changes, and training arrangements and records.Support branch license, labor file, immigration file and establishment record renewals by preparing documents and following up with the concerned parties.Follow Group HR policies and promptly report sensitive employee or compliance matters to the concerned manager for further guidance.Perform any other duty requested by the managerQualifications and ExperienceBachelor's degree or diploma in Human Resources, Business Administration or a related field.Minimum 5-8 years of UAE HR personnel or administration experience.Practical experience with UAE work permits, residency procedures and government portals.Knowledge of Emiratization, Nafis and UAE national pension procedures is preferred.
