The business is highly client-focused, taking a genuine interest in understanding each client's goals and providing clear, straightforward advice across areas including retirement, pensions, investments, cashflow planning and estate planning.With a friendly, caring and collaborative team, as well as a strong commitment to professional standards and client outcomes, this is an exciting opportunity to join a business that is continuing to grow and develop.As an IFA Administrator, you will play a key role in supporting the smooth and efficient running of the business, providing professional administrative support to clients and the wider team, as well as assisting with general office administration.This role will suit someone who enjoys administration and is looking to build a long-term career in an administrative position within a friendly, caring and professional firm.Salary & Benefits£28,000–£33,000, depending on experienceAnnual bonus25 days' annual leaveBirthday off3 days off over Christmas, on top of annual leave allowancePrivate healthcare after probation6% pension contributionProfessional, friendly and caring working environmentWorking HoursFull-time hours across a 4-dayworking weekMonday–Thursday, 8:30am–5:30pmFriday offHybrid working– 3 days in the office, 1 day working from homeResponsibilitiesDeal with enquiries from clients and third parties, ensuring a professional and excellent standard of service at all timesMaintain client paper and electronic back-office files to a high standard, ensuring client records are kept up to dateManage incoming and outgoing postMaintain the office diary and book appointments for clientsPrepare client meeting packs, including updating the system with returned client informationEnsure 'Know Your Client' information has been obtained and updated within the relevant client fileAssist with building new Lifetime Cash Flow models and pass these to the Paraplanner for checking and additionsManage Letters of Authority, ensuring required policy information is received in a timely manner and policy details are kept up to dateAssist the Financial Planners with any administration required in preparation for meetings and/or providing adviceComplete simple reports and compliance lettersCheck and reorder office supplies and stationery as requiredEnsure all supporting documentation is maintained in accordance with company proceduresAdhere to all regulatory and compliance requirementsEssential Skills and ExperienceA minimum of 1.5 years' experience as an administrator within a financial planning firmStrong administrative skills, with good written communication and letter-writing abilityGood understanding of compliance procedures and record-keeping requirements within a financial services environmentExcellent organisational and time-management skillsExcellent attention to detail, with the ability to use initiativeExcellent communication and interpersonal skills, with the ability to communicate confidently with clients and colleagues at all levelsStrong IT skills, with good knowledge of Microsoft Office systemsAbility to work independently while also contributing positively to a collaborative teamSupportive and approachable manner, with a willingness to assist colleagues and contribute to the wider teamData ProtectionBy applying for this position, you agree to your data being stored by Swarm Recruitment until you give notice for it to be removed.
