The role involves requirement gathering, stakeholder coordination, project management, and bridging business needs with IT solutions.Key Responsibilities1. Requirement Collection & AnalysisGather, document, and analyze business requirements from stakeholders for MyMA and IPAC systemsConduct workshops, interviews, and surveys to elicit user needsTranslate business requirements into functional specifications and user storiesCreate process flow diagrams, use cases, and wireframesMaintain a requirements traceability matrix2. System Management – IPAC Access ControlCoordinate enhancements and maintenance of the IPAC system across dormitory sitesWork with in-house software development team on IPAC software improvementsManage hardware vendor coordination for IPAC equipment procurementDocument system configurations, integrations, and defect trackingSupport defect management and resolution workflows3. System Management – MyMA PlatformSupport MyMA app operations including kiosks, vending machines, remittance, telco reseller, and catering modulesCoordinate with backend platform vendor on system enhancementsManage requirements for e-commerce, stock management, inventory tracking, and delivery modulesSupport WiFi operations integration at dormitory sites4. IT Coordination & LiaisonAct as the bridge between business users and the IT development teamCommunicate technical constraints and possibilities to business stakeholdersCoordinate with external vendors and technology partnersFacilitate UAT (User Acceptance Testing) sessionsManage change requests and impact assessments5. Project ManagementPlan, track, and manage IT projects related to MyMA and IPAC systemsDevelop project timelines, milestones, and deliverablesConduct risk assessment and mitigation planningPrepare project status reports and present to managementEnsure projects are delivered on time, within scope, and budget6. User Coordination & SupportServe as the primary point of contact for system users across dormitory sitesConduct user training sessions for new features and system updatesGather user feedback and translate into improvement initiativesManage user access, roles, and permissions coordinationCreate user guides and training documentation7. Documentation & ReportingMaintain comprehensive system documentation (SRS, BRD, FSD)Prepare business cases and capital investment justificationsGenerate operational reports and analytics for management reviewDocument SOPs for system operations and maintenanceRequirementsBachelor's Degree in Information Technology, Computer Science, Business Information Systems, or related fieldMinimum 2 years of experience as an IT Business Analyst or similar roleExperience with access control systems, mobile applications, or e-commerce platforms is preferredExperience working with cross-functional teams and external vendorsTechnical SkillsProficiency in requirement documentation tools (JIRA, Confluence, or equivalent)Understanding of software development lifecycle (SDLC) and Agile methodologiesFamiliarity with database concepts and basic SQLKnowledge of API integrations and system architectureProficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Visio)Soft SkillsExcellent communication skills (written and verbal) in EnglishStrong analytical and problem-solving abilitiesAbility to manage multiple projects simultaneouslyStakeholder management and negotiation skillsAttention to detail and documentation disciplineSelf-motivated with ability to work independentlyPreferred QualificationsExperience in dormitory management or facilities management industryKnowledge of payment systems, remittance, or telco platformsCBAP, PMI-PBA, or PMP certificationExperience with fixed asset management processesFamiliarity with revenue sharing models and vendor management
