Claims Helper / Clinic Receptionist / Asset Coordinator to support claims documentation, clinic reception, appointment administration, asset records, equipment tracking, and general operational activities.The ideal candidate is detail-oriented, discreet, organized, and comfortable handling confidential insurance and patient information while coordinating assets, suppliers, and administrative tasks.Key ResponsibilitiesAssist with routine insurance claims administration and documentation.Receive, organize, scan, and maintain approved claim forms, invoices, receipts, medical reports, correspondence, and supporting documents.Verify claim references, policy details, dates, customer information, service descriptions, amounts, and required documentation against approved records.Enter and update claims information accurately in insurance, CRM, or administrative systems.Maintain claims trackers, document registers, outstanding-information lists, and case-status records.Follow up on missing documentation, approvals, invoices, assessments, and other outstanding claim requirements.Coordinate with insurers, brokers, healthcare providers, customers, finance teams, and internal claims personnel.Assist with routine claim-status inquiries and provide approved updates to customers or authorized stakeholders.Identify incomplete, inconsistent, duplicate, or potentially unusual claim information and escalate it to authorized claims or compliance personnel.Maintain strict confidentiality of patient, policyholder, medical, financial, and commercial information.Welcome patients, visitors, healthcare professionals, suppliers, and authorized guests professionally at the clinic reception.Manage appointment schedules, registrations, check-in/check-out procedures, visitor records, and routine reception inquiries.Verify approved patient information and ensure registration and administrative forms are complete.Coordinate appointment confirmations, cancellations, rescheduling, referrals, and routine follow-up communications.Provide approved information regarding clinic services, operating procedures, locations, appointments, and administrative requirements.Coordinate with doctors, nurses, therapists, laboratory teams, billing staff, insurance teams, facilities, and management.Maintain accurate reception logs, appointment calendars, patient administrative records, and correspondence.Handle calls, emails, and routine patient inquiries professionally while protecting privacy.Escalate medical questions, emergencies, complaints, or sensitive patient matters to appropriately authorized personnel.Maintain a clean, organized, welcoming, and discreet reception environment.Maintain accurate records of company assets, equipment, tools, furniture, technology, and other assigned property.Record asset descriptions, identification numbers, serial numbers, locations, custodians, condition, purchase information, and movement history.Coordinate asset allocation, transfers, returns, inspections, maintenance requests, and disposal documentation.Conduct routine physical asset counts and reconcile results against approved asset registers.Investigate missing, damaged, misplaced, duplicate, or incorrectly recorded assets and report discrepancies.Maintain asset tags, inventory records, inspection checklists, maintenance schedules, and asset-movement logs.Coordinate with procurement, finance, IT, facilities, warehouse, clinic, suppliers, and operations teams.Track equipment servicing, warranty information, inspection dates, calibration requirements, and replacement schedules where applicable.Assist with receiving and verifying new equipment and assets against purchase orders and delivery documentation.Support internal asset audits, equipment inspections, inventory checks, and documentation reviews.Prepare daily, weekly, and monthly reports covering claims activity, clinic reception services, asset movements, inspections, and outstanding tasks.Maintain organized electronic and physical files for insurance, patient administration, asset, supplier, and operational documentation.Protect confidential patient, insurance, employee, financial, supplier, and company information.Follow insurance procedures, clinic privacy requirements, asset-control policies, workplace safety standards, data-protection rules, and applicable UAE regulations.Escalate serious claims discrepancies, patient-safety concerns, security incidents, asset losses, or significant operational issues promptly.Identify opportunities to improve claims documentation, patient experience, asset visibility, record accuracy, and operational efficiency.RequirementsBachelor’s degree or equivalent qualification in Insurance, Healthcare Administration, Business Administration, Finance, Logistics, Asset Management, or a related field is preferred.3+ years of professional experience in insurance claims, healthcare administration, clinic reception, asset management, inventory control, or business operations is preferred.Experience across two or more of claims administration, clinic reception, asset coordination, inventory, or operations is advantageous.Understanding of insurance claims documentation, customer service, clinic administration, asset records, and document control.Familiarity with UAE healthcare administration, insurance processes, or medical-claims workflows is advantageous.Excellent spoken and written English communication skills.Additional languages such as Arabic, Hindi, Urdu, Mandarin, French, or Russian are advantageous.Professional, discreet, approachable, and customer-focused manner.Exceptional attention to detail when handling claims, patient records, asset information, invoices, and administrative documentation.Strong organizational, analytical, multitasking, prioritization, and follow-up skills.Ability to handle confidential and sensitive information responsibly.Strong communication, observation, and problem-solving skills.Proficiency in Microsoft Excel, Word, Outlook, Google Workspace, CRM, ERP, claims, asset-management, and document-management systems.Advanced Excel skills, including PivotTables, lookups, filters, and reconciliation techniques, are advantageous.Experience with SAP, Oracle, Microsoft Dynamics, Salesforce, Odoo, or comparable platforms is advantageous.Familiarity with insurance claims systems, clinic-management software, EMR/EHR platforms, asset-management tools, barcode systems, or inventory software is advantageous.UAE or GCC experience in insurance, healthcare, clinics, hospitals, facilities management, corporate services, or logistics is advantageous.Insurance, healthcare administration, asset management, logistics,
