Overview Intake & Operations Coordinator

Location: Fort Lauderdale, FLAbout the Opportunity:Kelley Kronenberg’s Finance & Legal Operations team is looking for a detail-oriented Intake & Operations Coordinator to join our Fort Lauderdale office.

This role sits at the center of the firm’s client and matter intake process, giving you the chance to build deep familiarity with how a large, multi-practice firm runs while working closely with our Director of Legal Operations on process improvement and data integrity initiatives.You’ll own the intake lifecycle from beginning to end, from initial request through conflict checks, matter setup, and ongoing matter management. This is a role for someone who takes pride in accuracy and organization, enjoys problem-solving, and wants to be part of a team that’s actively building better workflows rather than just maintaining the status quo.Your ResponsibilitiesProcess new client and matter intake requests, ensuring information is complete, accurate, and consistent with firm policies and service-level agreements.Run and review conflict of interest checks, escalating potential conflicts to the appropriate stakeholders in a timely manner.Coordinate new matter setup across firm systems, verifying and entering client, matter, and case-related information accurately.Generate and maintain intake reporting for firm leadership, tracking volume, turnaround times, and outstanding items.Support onboarding for new clients and matters, and help train new team members and attorneys on intake procedures and systems.Maintain data integrity across intake and matter management systems, coordinating with attorneys and staff so information flows smoothly between intake, matter management, and billing.Partner with the Director of Legal Operations to develop new workflows, document existing processes, and identify opportunities for automation and efficiency.What You Bring:High school diploma or equivalent required; Associate’s degree preferred.Minimum of 2 years of professional work experience in a law firm, legal services, or professional services environment preferred.Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook.Strong organizational and time-management skills, with the ability to manage multiple priorities and deadlines.Excellent written and verbal communication skills, with a professional, detail-oriented approach.Comfort adapting to changing priorities and learning new tools, including firm-approved AI and technology, to improve efficiency and service delivery.Perks of Working at Kelley Kronenberg:Competitive salaryCompany-paid PPO health insurance, with dental and vision optionsGenerous PTO, including a floating holiday and a dedicated mental health day401(k) with employer matchA diverse, equitable, and inclusive work environmentOngoing support and professional developmentAll inquiries will be kept confidential.
