Invoice Matching Team Leader

We are looking for an experienced Invoice Matching Team Lead to join our warehouse-based operations team, leading daily invoice matching, reconciliation, exception resolution, and team coordination activities within a fast-paced warehouse environment.

Responsibilities

Lead daily 3-way matching of supplier invoices against POs, GRNs, returns, and supporting documentsVerify quantities, prices, item references, receiving status, and documentation before closing transactionsInvestigate and resolve invoice, quantity, receiving, return, duplicate, and documentation discrepanciesCoordinate with Receiving, Stock Control, Finance, Procurement/Commercial, and suppliers to resolve outstanding issuesPrioritize high-value, aged, and business-critical unmatched transactions and ensure timely closureAllocate daily tasks and monitor team productivity, accuracy, workload, and completionReview complex cases and coach team members on investigation and reconciliation proceduresMaintain accurate records, supporting documentation, and audit-ready reconciliationsMonitor key KPIs including matching completion, exception rate, ageing, accuracy, and closure timeIdentify recurring issues and support process improvement, standardization, and automation initiativesEscalate material, unusual, or unsupported discrepancies to the relevant supervisorRequirements3-5 years of relevant experience in invoice matching, reconciliation, Accounts Payable, inventory, warehouse administration, or supply chain operationsPrevious team lead or supervisory experience is preferredStrong knowledge of 3-way matching, Purchase Orders, Goods Receipts, returns, and invoice documentationGood understanding of warehouse and inventory transaction flows and discrepancy investigationExperience using ERP/WMS systems and advanced Excel for reconciliation and reportingStrong numerical accuracy, attention to detail, and documentation controlExcellent leadership, communication, analytical, follow-up, and problem-solving skillsDiploma or Bachelor's degree in Accounting, Finance, Supply Chain, Business Administration, or a related fieldCPIM, inventory management, AP, or supply chain certifications are an advantage
