Apply & track with Apply EdgeThe Invoicer reports to the Senior Accountant and Finance Manager. The role is responsible for the accurate and timely preparation, verification, and issuance of customer invoices, maintaining complete billing records, ensuring invoicing compliance with UAE VAT and contractual requirements, and supporting the finance team with reliable billing information. This encompasses day-to-day invoicing operations, monthly billing cycle closure, and coordination with Operations, Trading, and internal stakeholders. Key Responsibilities Prepare, verify, and issue customer invoices on a daily basis in accordance with contract terms, company policies, and applicable regulations. Record and track all billing transactions, including sales invoices, credit notes, corrections, and related supporting schedules. Verify all invoice inputs — quantities, prices, delivery confirmations, and contractual terms against Operations and Trading records, ensuring accuracy and timely error rectification before issuance. Reconcile customer and supplier accounts, sales & purchase ledgers, and intercompany billing balances, and follow up on outstanding invoices. Prepare monthly, quarterly, and annual invoicing reports, ageing summaries, and outstanding receivables reports for management. Monitor the overall billing cycle to ensure all invoices for the preceding month are raised and reconciled within agreed timelines. Ensure all billing records are prepared and ready for Senior Accountant and Finance Manager review and approval prior to any adjustments. Assist in revenue reporting, receivables forecasting, and variance analysis on billing data. Ensure all invoices comply with statutory, regulatory, and tax requirements, including UAE VAT (FTA tax invoice requirements) and correct tax treatment on credit notes, and provide accurate billing data for VAT and CIT filings. Support internal and external audits by providing invoice documentation, trails, and explanations. Maintain proper filing and documentation of all invoices, credit notes, and supporting records in MS Excel and ERP (Odoo). Coordinate with Operations, Trading, and other departments to ensure accurate and complete billing. Identify and recommend improvements to invoicing processes and internal controls. Functional Skills Strong working knowledge of billing and invoicing processes, sales/purchase ledger reconciliation, and receivables management. Sound understanding of UAE VAT regulations (FTA tax invoice requirements) and awareness of Corporate Income Tax (CIT) implications on billing data. High level of accuracy and attention to detail, with the ability to identify and resolve discrepancies before issuance. Strong organizational and time-management skills to manage recurring deadlines within the monthly billing cycle. Effective written and verbal communication skills for coordination with Operations, Trading, and Finance stakeholders. Analytical mindset with the ability to prepare ageing summaries, variance analysis, and management reports.IT Skills: Microsoft Excel Advanced proficiency, including pivot tables, VLOOKUP/XLOOKUP, SUMIFS/COUNTIFS, conditional formatting, and data validation. Ability to build and maintain reconciliation trackers, ageing schedules, and billing dashboards. Working knowledge of basic macros/automation to streamline recurring reporting tasks (an advantage). Odoo ERP Experience using Odoo (or a similar ERP) for invoice generation, credit notes, customer/vendor ledgers, and billing reconciliation is considered a strong edge; prior exposure is an advantage, and training will be provided if required. Ability to extract, validate, and reconcile data between the ERP and Excel-based reporting. General Digital ProficiencyProficient in the Microsoft Office suite (Word, Outlook, Teams/SharePoint) for correspondence, reporting, and document management. Comfortable working with digital filing and document management systems, maintaining organized and audit-ready electronic records. Familiarity with e-invoicing concepts and UAE e-invoicing/FTA digital compliance requirements is an advantage. Sound data-entry accuracy and understanding of data confidentiality when handling financial and customer information. Qualification and Experience: Bachelor’s degree in accounting, finance, business administration, or a related field. 2–4 years of relevant experience in invoicing, billing, accounts receivable, or general accounting, preferably within a trading, logistics, or service-based organization in the UAE. Working knowledge of UAE VAT requirements; exposure to UAE Corporate Income Tax (CIT) is an advantage. Hands-on experience with an ERP system (Odoo preferred) and advanced MS Excel skills. Professional certification (e.g., part-qualified ACCA/CMA) is an advantage but not mandatory.
