As an Executive, Office Management, you will support day-to-day office operations, including Workplace Safety and Health (WSH), sustainability initiatives, fire safety and contract administration. You will help ensure compliance with policies and procedures while maintaining a safe, efficient and well-managed workplace that supports the smooth and effective operation of SPL.Key Tasks You Will Be Involved InOffice Management, Communications and Contract AdministrationManage all office management issues and ensure prompt resolution.Maintain the Office Management contract listing, coordinate contract renewals, and prepare approval papers, memos and requirements.Oversee CCTV maintenance, annual power shutdowns and invoice processing.Prepare and disseminate Office Management communications, including EDMs, newsletters and reminders.WSH Execution and SustainabilityConduct risk assessments, gemba walks and safety improvement reviews.Propose safety improvements and follow up on corrective actions.Implement sustainability initiatives, staff education programmes and environmental projects.Track sustainability data and support green certification requirements.Fire Safety ManagementServe as the organisation’s Fire Warden and coordinate fire drills.Brief Fire Safety Members and maintain the Fire Evacuation Plan.Ensure that fire safety processes and documentation remain current and compliant with the Fire Safety Act.Reception and Door Access ManagementOversee reception operations and ensure efficient processes and professional service standards.Maintain oversight of door access administration and coordinate with Office Management colleagues on access requests.Generate monthly door access reports and ensure compliance with access control policies.Project SupportSupport the hands-on execution of Office Management projects and operational improvements.Perform other duties and initiatives assigned by management, ensuring all tasks are delivered on time and to the required standard.What You’ll GainAt SimplyGo, our people are at the heart of everything we do.We ASPIRE to create a supportive and inclusive workplace where you can thrive.Here’s what you can look forward to:ProfessionalContinuous growth through training, mentorship, and development.Career pathways with room to advance and expand your skills.A culture of collaboration that celebrates innovation, respect, and teamwork.IndividualAn attractive annual compensation package within the indicative range of $59,000 to $67,200, with compensation commensurate with experience, including an Additional Wage Supplement and Performance Bonus.Comprehensive benefits to support your lifestyle and wellbeing.Flexibility with hybrid work options and supportive arrangements.Wellbeing initiatives designed to keep you healthy, balanced, and engaged.How to Apply Send us your resume with a short note telling us what excites you most about this opportunity to careers@simplygo.com.sg.This role might be for you if you have:Training in Business or a related discipline.1 to 2 years of relevant experience in office management facilities management or a related operational function.Good command of written and spoken English, with the ability to prepare clear memos, reports, EDMs, newsletters, approval papers and professional communications.Knowledge of fire safety management, emergency evacuation planning and Fire Warden responsibilities.Understanding of sustainability practices, green initiatives and data-tracking methods.Familiarity with office operations, preventive maintenance, vendor coordination and contract administration.Knowledge of CCTV systems and door access administration.Ability to process invoices accurately and promptly.Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint and Teams.Strong organisational and stakeholder-management skills, with the ability to manage multiple operational tasks and deadlines.Meticulous, proactive and attentive to detail.
