We are committed to technical excellence, innovation, and delivering sustainable engineering solutions that shape the built environment.Role OverviewThe Operations Officer supports the end-to-end commercial and administrative lifecycle of projects within the department. From project initiation through to invoicing and commercial monitoring, this role ensures that all projects are set up, tracked, and reported in compliance with internal processes and approved project structures.Key ResponsibilitiesLead project initiation activities, including preparation of Project Charters, obtaining required approvals, and issuing project announcement emails for all new projects.Support planners in setting up projects on NetSuite, including the creation of project schedules, WBS structures, budgets, and revenue allocations in line with the approved project structure.Follow up on Contracts, Variation Orders (VOs), and Sub-Consultant agreements to ensure timely execution and documentation.Monitor project stage invoicing in alignment with schedule lookaheads and contractual payment schedules.Track project costs against approved budgets using commercial dashboards; identify and report any commercial risks or deviations to the relevant stakeholders.Audit the accuracy of resource allocation across projects to ensure compliance with the team structures approved by Heads of Departments.Support the maintenance and regular updating of project dashboards to ensure data accuracy and accessibility.Qualifications & RequirementsBachelor's degree in Architecture, Civil Engineering, or a related Engineering discipline.1–2 years of experience in an Architecture, Engineering, or Construction (AEC) company.Strong written and verbal communication skills.Familiarity with project management tools and ERP systems (experience with NetSuite is an advantage).Strong organizational skills with an ability to manage multiple workstreams simultaneously.Analytical mindset with experience in commercial monitoring or project controls.High attention to detail and a proactive approach to follow-up and issue resolution.Artificial Intelligence awareness and utilization is an advantage.
