Duties • Formatting WORD and .PDF documents and creating templates to streamline future work
• Maintaining to-do lists, communicating status of tasks, and following up where required
• Data entry
• Generating and formatting documents after data entry
• Reviewing data entries by others to ensure accuracy
• Answering calls
• Reviewing invoices to clients against a checklist
• Monitoring inbox, saving emails and documents, and ensuring urgent issues are dealt with promptly
• Scanning and saving documents
• Writing transmittal letters to accompany documents
• Doing menial tasks such as maintaining office supplies, buying lunch, delivering documents, and dealing with vendors, as required, from time to time
Minimum General Qualifications• Fluency in written and spoken English
• Business writing skills
• Fast typing speed
• Advanced knowledge of WORD and Adobe Acrobat DC for formatting complex documents and creating templates quickly (as opposed to simple word processing knowledge)
• Basic knowledge of EXCEL and arithmetic formulas
• Experience with using technology to manage workflows, including initiating tasks, setting deadlines, managing follow ups, and communicating progress
• Competency in dealing with people who are under stress
• Basic understanding of bookkeeping and invoicing
• Comfortable enough with technology to adapt to and navigate through new software interfaces naturally
• Multitask, prioritize tasks, and change priorities when required on the spot
• Confident in making judgement calls when there is no supervision or training, as opposed to needing direction (e.g. how much supply to order, how to separate hundreds of different documents so that the person receiving them can identify the documents, whether to save a document as a new version over the previous document or as a new file altogether)
• Organized with a common-sense approach to naming, maintaining, and updating documents electronically
• Comfortable with doing menial tasks
• Must be able to work overtime (past 5 pm) if required and must be available to come to the West Vancouver office at short notice if working remotely
• Must be authorized to work in Canada
Additional NotesThis position is for long-term employment as support staff. It is not available to foreign-trained lawyers intending to be licensed as a lawyer in Canada.
