The role owns calendar and travel management, client communications and intake logistics, billing coordination, matter-opening administration, and court e-filing logistics. You will ensure attorneys’ schedules, files, correspondence, and deadlines are organized, accurate, and current, and work closely with paralegals and other firm staff to support the smooth operation of active litigation matters.Compensation: Starting at $100k+ baseBenefits: Parking, Health Insurance, Dental Insurance, and Retirement PlanKey Responsibilities:Attorney & Practice Support: Manage calendars, arrange travel, schedule meetings, serve as a primary contact for client intake and communications, and maintain organized client files.Matter Management & Billing: Process new matter openings and conflict checks, support attorney time entry and billing, manage expense reports, and handle incoming/outgoing correspondence.Litigation Support: Handle court e-filings, maintain docket deadlines, organize case files, coordinate depositions and witness logistics, and assist with trial preparation and binders alongside paralegals.Substantive Support: Prepare draft shells for pleadings and motions, assist with internal investigations and case files, and provide limited administrative coordination on South America cross-border matters.Required Qualifications:Minimum of 2 years of experience as a legal assistant or legal secretary, preferably in litigation environment.High school diploma or equivalent; associate’s degree or paralegal/legal secretarial certificate preferred.Working knowledge of state and federal court e-filing systems and filing procedures.Proficiency with Microsoft Office (Word, Outlook, Excel), Tabs3, NetDocs, PACER and e-filing systems for state and federal courts.Strong organizational skills and attention to detail, with the ability to manage multiple attorneys’ priorities and deadlines simultaneously.Excellent written and verbal communication skills and a professional, client-service orientation.Preferred Qualifications:Experience supporting litigation attorneys in a mid-size or larger law firm.Familiarity with billing and expense platforms and conflict-check procedures.Bilingual (English/Spanish) skills, given the firm’s cross-border and South America matters.
