We are seeking a highly organized and detail-oriented Legal Administrative Assistant to provide administrative and operational support to attorneys and legal teams. This role is ideal for a professional who thrives in a fast-paced environment, enjoys managing multiple priorities, and takes pride in maintaining accurate records, organized case files, and exceptional client service.The successful candidate will support daily legal operations by managing calendars, coordinating communications, preparing legal documents, tracking deadlines, maintaining case records, and assisting with billing and administrative processes.Key ResponsibilitiesAdministrative & Calendar ManagementManage attorney calendars, meetings, appointments, and deadlines.Coordinate scheduling for client meetings, internal discussions, and other legal-related activities.Monitor critical dates and ensure timely follow-up on tasks and commitments.Assist with general administrative support and operational coordination.Client Communication & Records ManagementServe as a professional point of contact for clients and external parties.Maintain accurate client records and case-related information.Track communications and ensure information is properly documented.Handle confidential information with professionalism and discretion.Legal Document ManagementPrepare, format, proofread, and organize legal documents, correspondence, and records.Maintain organized electronic and physical filing systems.Ensure documents are accurately stored and easily accessible.Review files for completeness and accuracy.Docketing & Deadline TrackingMonitor filing deadlines, legal timelines, and important case milestones.Maintain docketing systems and assist with deadline management.Support attorneys by ensuring key dates and obligations are properly tracked.Help maintain compliance with established procedures and schedules.Billing & Matter ManagementAssist with billing coordination, invoices, payment tracking, and administrative reporting.Maintain matter management and case tracking systems.Support accurate recordkeeping related to client and matter activity.Assist with data entry and administrative updates as needed.Required Qualifications2+ years of administrative support, legal support, or related professional experience.Intellectual property experience.Strong proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.Experience managing calendars, meetings, schedules, and deadlines.Document management, records management, and data entry experience.Excellent written and verbal communication skills.Strong organizational skills with exceptional attention to detail.Ability to manage multiple priorities in a deadline-driven environment.High level of professionalism, discretion, and confidentiality.
