قدّم وتابع مع أبلاي إيدجTransactional Legal SecretaryThe Legal Secretary will provide comprehensive administrative, document, and workflow support to attorneys and other legal professionals. Responsibilities will include:Manage day-to-day administrative needs, including correspondence, meeting coordination, appointment scheduling, travel arrangements, expense reporting, and timekeeping.Maintain attorney calendars, client contact information, files, and important administrative deadlines.Draft, format, revise, proofread, and finalize legal documents, correspondence, and practice-specific materials.Review and accurately implement detailed document revisions, redlines, and attorney instructions.Support attorneys with transaction and matter closings by coordinating signature materials, reviewing execution documents, organizing final documents, and distributing completed materials.Assemble closing binders, indexes, and other final matter documentation.Prepare, file, request, and maintain corporate and other legal records.Assist with new client intake and ensure necessary information is processed in accordance with applicable conflict-check procedures.Assist with attorney billing and collection efforts, including responding to and coordinating invoice-related correspondence.Organize and prioritize a high-volume workflow while managing multiple deadlines and ensuring assignments are completed accurately and on time.Serve as a resource for new attorneys by providing guidance regarding administrative procedures and workflow processes.Work collaboratively with other legal support professionals and internal departments to ensure efficient and consistent support.Use required firm technology, document management systems, workflow tools, billing platforms, and time-entry software.Maintain a current notary commission and provide notarial services for business-related matters when needed.Participate in required training and professional development programs.Support the onboarding and development of junior staff and new employees through mentorship and peer guidance.Perform additional administrative and legal support duties as assigned.Education and ExperienceHigh school diploma or equivalent required; college degree preferred.Three to five years of prior law firm experience strongly preferred.Required Skills and QualificationsAbility to accurately process complex legal documents, detailed markups, and written instructions.Strong organizational skills with the ability to balance competing priorities and meet deadlines in a demanding environment.Ability to identify, troubleshoot, and resolve document and formatting issues efficiently.Excellent written, verbal, interpersonal, grammar, and proofreading skills.Strong commitment to accuracy, high-quality work, responsiveness, and exceptional service.Typing speed of at least 70 words per minute with a high degree of accuracy.Advanced proficiency with Microsoft Word, Excel, Adobe, DocuSign, Aderant, and legal billing or time-entry systems.Strong technical aptitude and the ability to quickly learn new software, systems, and processes.Highly organized, detail-oriented, proactive, adaptable, and collaborative.Positive attitude and willingness to take on a broad range of responsibilities in support of the team.Ability to work regular business hours with flexibility to work overtime when necessary.Professional and effective communication skills when interacting with clients, attorneys, staff, and management.
