Logistics & Operations Supervisor – Gold & Diamond Trading**Company:** Perleen Group**Location:** Dubai, UAE **Employment Type:** Full-time | On-siteJob OverviewWe are seeking a highly organized, proactive, and detail-oriented **Logistics & Operations Supervisor** to coordinate day-to-day trading operations, international shipments, tender activities, customs procedures, and related documentation within our gold and diamond trading business.The ideal candidate should have hands-on experience in international trade operations and logistics, with the ability to coordinate multiple activities independently and ensure smooth execution of business transactions.Key Responsibilities- **Trading Operations Coordination:** Coordinate daily operational activities related to gold and diamond trading, including purchase and sales order processing, transaction follow-ups, and coordination between internal teams and external partners.- **International Logistics & Shipment Coordination:** Arrange and coordinate international shipments, liaising with suppliers, refineries, freight forwarders, airlines, security companies, and customs agents.- **Shipment Monitoring:** Track shipment progress, coordinate schedules, follow up on deliveries, and resolve transportation delays or documentation issues.- **Tender Coordination:** Communicate with tender houses and suppliers regarding tender schedules, allocations, purchase arrangements, collection schedules, and shipment requirements.- **Trade Documentation:** Prepare, review, and organize operational documentation related to purchase and sales transactions, shipping instructions, commercial invoices, packing lists, and delivery confirmations.- **Customs Clearance:** Coordinate import and export customs procedures, ensuring the availability and accuracy of airway bills (AWBs), bills of entry (BOEs), declarations, and other required documents.- **Supplier & Client Coordination:** Maintain regular communication with international suppliers, buyers, refineries, logistics providers, and other business partners regarding operational requirements and transaction progress.- **Order & Delivery Follow-Up:** Monitor the progress of purchase and sales orders, coordinate collection and delivery arrangements, and ensure relevant parties receive timely updates.- **Operational Documentation & Records:** Maintain accurate records of trading activities, shipment details, stock movements, deliveries, and related correspondence.- **Regulatory & Operational Requirements:** Coordinate the collection and submission of required trade and shipping documentation, liaising with relevant compliance teams and authorities when necessary.- **Internal Coordination:** Work closely with trading, administration, compliance, and other departments to ensure efficient execution of transactions and timely completion of operational requirements.- **Operational Issue Resolution:** Identify and resolve issues related to shipments, orders, supplier coordination, documentation, and other day-to-day trading activities. Requirements- Minimum 3–5 years of relevant experience in logistics, trading operations, import/export coordination, or international trade.- Experience in gold, diamonds, precious metals, or high-value commodity trading is an advantage.- Good understanding of international shipping procedures, customs clearance, and trade documentation.- Familiarity with UAE import/export regulations and customs procedures.- Experience coordinating with international suppliers, freight forwarders, and logistics providers.- Strong organizational skills and ability to handle multiple transactions and shipments simultaneously.- Excellent communication, coordination, and problem-solving abilities.- Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.- Fluent English, both written and spoken.- Ability to work independently, prioritize tasks, and meet deadlines.- UAE-based candidates with immediate availability or a short notice period are preferred.
