The role focuses on shipment coordination, documentation, inventory movement, transportation support, order tracking, and communication with internal teams, suppliers, carriers, and customers.Key responsibilities include coordinating incoming and outgoing shipments, preparing logistics documentation, tracking deliveries, updating shipment records, and ensuring transportation activities follow established schedules and procedures. The role will monitor shipment status and communicate delays, changes, or potential issues to relevant stakeholders.The position will assist with transportation planning by coordinating with carriers, freight providers, warehouses, suppliers, and other logistics partners. Responsibilities may include arranging pickups and deliveries, confirming shipment details, checking delivery schedules, and following up on outstanding consignments.The Logistics Assistant / Specialist will maintain accurate records of purchase orders, delivery notes, invoices, shipping documents, tracking numbers, inventory movements, and other logistics information. The role will also support reconciliation activities and help investigate discrepancies between physical shipments and system records.Additional responsibilities include assisting with inventory coordination, warehouse activities, order fulfillment, shipment preparation, returns, and logistics reporting. The role may analyze delivery performance, transportation costs, lead times, and other logistics indicators to identify opportunities for operational improvement.The successful candidate should be organized, detail-oriented, responsive, and capable of managing multiple logistics activities simultaneously. Strong communication and coordination skills are essential for maintaining smooth communication between different parties and ensuring shipments progress according to schedule.The role requires a proactive approach to identifying delays, resolving routine logistics issues, maintaining accurate documentation, and supporting efficient supply chain operations.QualificationsDiploma, certificate, or equivalent qualification in Logistics, Supply Chain Management, Transportation, Warehouse Management, Business Administration, or a related field.Strong understanding of logistics operations, transportation coordination, shipment processing, order fulfillment, and inventory movement.Ability to coordinate shipments, deliveries, pickups, transportation schedules, and logistics activities.Familiarity with logistics management systems, transportation management systems (TMS), warehouse management systems (WMS), ERP platforms, or shipment-tracking software.Proficiency in Microsoft Excel, Google Sheets, Microsoft Office, or similar productivity and reporting tools.Ability to prepare and maintain shipping documents, delivery notes, purchase orders, invoices, tracking records, and logistics reports.Strong attention to detail when reviewing shipment information, quantities, addresses, product codes, dates, and documentation.Ability to track shipments and communicate delivery updates, delays, changes, and exceptions effectively.Understanding of basic inventory control, warehouse procedures, stock movements, receiving, dispatch, and returns processes.Strong organizational and time-management skills with the ability to manage multiple shipments and priorities.Ability to coordinate effectively with suppliers, carriers, warehouses, customers, purchasing teams, and internal departments.Strong problem-solving skills with the ability to investigate shipment discrepancies, delays, damaged goods, and documentation issues.Ability to prepare logistics reports, shipment summaries, delivery updates, and performance documentation.Understanding of logistics KPIs such as on-time delivery, lead time, transportation costs, order accuracy, and shipment status.Familiarity with barcode systems, GPS tracking, electronic proof of delivery, and digital logistics platforms is advantageous.Understanding of workplace safety, proper handling procedures, and responsible management of goods and logistics documentation.Strong written and verbal communication skills with a professional and responsive approach.Ability to work independently while coordinating effectively with multiple teams and external logistics partners.Proactive mindset with a strong focus on accuracy, efficiency, timely delivery, customer service, and continuous logistics improvement.
