Position SummaryThe Manager, Events and Membership is responsible for delivering outstanding service to members. As part of a small team, this position will also have responsibilities across member services, operations, events, and communications. The position plays a key role in creating and maintaining efficient operations, delivering a “member-first” culture, and fostering positive teamwork in a small-staff environment.Key ResponsibilitiesMembershipServe as a primary contact for members, responding to inquiries and resolving issues in a timely, professional manner.Process annual hunt paid membership lists and track paymentsPrepare/distribute/track annual hunt questionnairesTrack/update Master, ex-MFH membership changesTrack/update hunt changesPrepare new Master candidate information for Board meetingsEnsure consistent, high-quality member experiences across all touchpointsFollow up with members who have unpaid duesOperational SupportManage daily operational and administrative functions of the association, including answering any incoming phone calls, greeting visitors, processing store orders, and handling all incoming and outgoing mailMaintain and improve internal systems, workflows, and documentationProcess Fairly Hunted awardsEnsure compliance with association policies, procedures, and applicable regulationsServe as staff liaison to several committees, providing administrative and operational support and guidance Meetings & SeminarsIn conjunction with the Executive Director, coordinate with vendors on meeting and event space, hotel, food & beverage, A/V, entertainment, and other vendors as neededIn conjunction with the team, develop communication materials to promote educational opportunities and eventsCoordinate preparations for January, May, and October board meetings, including securing room blocks and restaurant reservations (as needed)Assist in agenda preparations and participate in board meetings as requestedCommunications and PublicationsIn conjunction with the team, review and edit all Covertside articles and proofread magazine draftsCoordinate with graphic designer on projects as neededCollect and update the member database to publish the yearly Master’s Directory and Huntsman’s DirectoryPull data for the yearly Hunt RosterSponsorshipsWork with consultant to ensure fulfillment of 100% of all sponsorship and advertiser benefits and agreement terms.Team & Cross-Functional CollaborationWork closely with the Executive Director and staff to align operations with organizational goalsServe as a problem-solver and resource across departments in a small-team settingOther responsibilities as assignedSkills and QualificationsSome college or a college degreeProfessional communication styleExemplary attention to detailDemonstrated comfort and proficiency navigating complex data management systems/Association Management Systems (AMS)/Customer Relationship Management Systems (CRMs), with the ability to leverage their full range of features and functionality to maximize efficiency, data utilization, and organizational impactExperience with MS Office suite of programsStrong relationship management skillsAdaptable, innovative, and collaborativePrevious experience in a membership association preferredPosition StatusFull TimeSalariedExempt$50,000-$55,000/year
