Key Responsibilities:Observerships & ElectivesCoordinate and manage observership and elective programs for local and international medical and allied health students.Respond promptly to inquiries related to observerships and electives.Support onboarding and offboarding processes, ensuring all required documentation is completed.Maintain accurate records and trackers for trainees and program participants.Prepare and issue acceptance letters, completion certificates, and related documentation.Internship & Residency ProgramsWork closely with the Head of Medical Education to support internship and residency programs.Respond to program-related queries from trainees and stakeholders.Maintain trainee records, including onboarding, offboarding, attendance, and training documentation.Clerkship & Faculty AdministrationMaintain and update clerkship records for Year 4 and Year 5 medical students.Manage faculty records and ensure information is kept current and organized.Coordinate communication between faculty members, trainees, and academic institutions.General AdministrationManage printing, scanning, filing, and document control activities for all education programs.Support the Medical Education Facilitator in the development and enhancement of educational initiatives.Act as a liaison between departments, trainees, universities, and external stakeholders.Ensure compliance with hospital policies, procedures, and regulatory requirements.Assist in preparing reports, maintaining databases, and supporting accreditation and quality initiatives as required.Qualifications & ExperienceBachelor's degree in Healthcare Administration, Education, Business Administration, or a related field.Minimum 2 years of administrative or coordinator experience, preferably within a healthcare, academic, or educational environment.Experience coordinating training, academic, internship, or residency programs is highly desirable.Strong organizational and time management skills with excellent attention to detail.Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.Excellent written and verbal communication skills in English.Ability to manage multiple priorities and work collaboratively with diverse stakeholders
