The team provides individualized treatment for people with substance use disorder. Serving an often underserved and misunderstood population, the trauma-informed staff prioritizes timely access to care, making every effort to see new patients with opioid use disorder the same day they call. Apex Medical Wellness is committed to respectful, appointment-based care that honors patients’ time and promotes better health outcomes.Role Description The Medical Practice Assistant will support daily operations in a hybrid role based in Marlborough and Brockton, MA, with some work-from-home flexibility. This position includes scheduling appointments, managing patient intake and check-in, maintaining accurate records, and handling general clerical and administrative tasks. The assistant will answer phones, respond to patient inquiries, and coordinate communication between patients and clinical staff in a professional, compassionate manner. Additional responsibilities include verifying patient information, assisting with billing or insurance-related tasks as needed, light cleaning, and helping maintain a welcoming, organized clinic environment. The role requires consistent attention to detail, respect for confidentiality, and alignment with the practice’s trauma-informed, patient-centered values.QualificationsStrong clerical skills and administrative assistance experience, including scheduling, record-keeping, and document management.Professional phone etiquette and clear, respectful communication skills in interactions with patients and team members.Customer service skills with a focus on empathy, patience, and support for individuals with substance use and complex medical needs.Ability to work effectively in a hybrid environment, balancing on-site responsibilities in Marlborough and/or Brockton with remote tasks.Comfort working in a trauma-informed, non-judgmental medical setting; prior experience in healthcare or behavioral health is beneficial.Basic computer proficiency, including use of electronic health records and common office software.High school diploma or equivalent required; additional training or certification in medical office administration is a plus.Reliability, discretion, and commitment to maintaining patient confidentiality and complying with relevant regulations.
