Pristem is looking to complete the team of its South-African Hub with a dynamic, committed, and talented Medical Receptionist to join the team in Alexandra, Gauteng.Position Summary and ObjectivesA Medical Receptionist plays a vital role in ensuring a positive patient experience. Your primary responsibilities will be shared on a schedule basis between front desk response providing excellent front desk service, contributing to high standards patient care, maintaining accurate patients’ and administrative records, and contributing to the overall organization and efficiency of our reception area.Main Duties and Responsibilities (Non-exhaustive List)Patient Check-In and Registration:Welcome and greet patients as they arrive at the center in a friendly and professional manner.Explain any necessary forms, consents, or documentation required and assist patients in completing them.Collect and verify patient information, including personal and medical details, accurately and efficiently.Register patients using the RIS software, ensuring completeness and accuracy of information.Billing and banking records:Manage the invoicing process for all X-ray examinations using billing system.Collect upfront payments from patients without medical aid and uncovered services, providing necessary assistance and guidance regarding payment options.Verify patient insurance information, including IDs and medical aid details, to ensure accuracy and eligibility for coverage, as well as verifying insurance coverage for patients with medical aids.Utilize digital payment methods such as credit card processing for patient examinations, ensuring the secure and efficient handling of sensitive financial information.Maintain accurate records of financial transactions, invoices, and payments received, ensuring accuracy and compliance with the center's policies and procedures.Respond to patient inquiries and concerns related to billing and payments, providing clear and helpful explanations and resolutions as needed.Workflow Coordination:Collaborate and coordinate with the other team members (Radiographer and Patient administrator) to optimize patient flow and ensure a seamless experience.Communicate effectively with colleagues to maintain efficient workflow and minimize wait times.Provide necessary instructions and information to patients regarding the radiology procedures they will undergo.Manage patient inquiries and address any concerns or questions regarding their visit.Communication and Customer Service:Answer phone calls promptly and professionally, addressing inquiries and providing general information about our services.Communicate effectively with patients, providing clear instructions and information about patient flow in the center and follow-up.Ensure patient satisfaction by addressing their concerns or directing them to the appropriate staff member.General Administrative Support:Provide assistance with various administrative tasks, such as data entry, ensuring accurate recording of information.Organize and maintain files, both physical and electronic, to ensure easy retrieval and confidentiality.Share expertise and provide guidance to colleagues, promoting continuous learning and professional development.Required profile (Non-exhaustive List)Education & ExperienceGrade 12 certificateDiploma in Office Management/Administration or relatedCertification in medical reception or healthcare administration2 years Receptionist/Administration experience LanguagesEnglish written and spoken. Any additional local language will be considered as a plus. Computer skillsMS Office (Word, Excel, PowerPoint, OneNote, Teams)Knowledge of RIS, PACS and billing software will be considered as a plus SkillsAbility to handle a fast-paced environment and prioritize tasks effectively.Proficiency in using computer systems and electronic medical record software.Excellent communication and interpersonal skills, with the ability to empathize and effectively communicate with other team members and patients.Strong organizational skills and attention to detail to ensure accurate documentation and streamlined workflows.Uphold ethical and professional standards while respecting patient confidentiality.
