From founder roundtables and AI workshops to wellness experiences, dinners, and member socials, our events are designed to add real value to membership and reinforce what makes Gevity different from a traditional coworking space, gym, or social club.About the RoleGevity is seeking an Events Coordinator to help lead the day-to-day operations behind our events and member programming.This person will manage member events from initial request through post-event follow-up, help shape and manage our monthly member programming calendar, and be on-site to execute member, partnership, and private events.Working closely with Gevity’s Events & Partnerships Manager, you’ll help build a thoughtful programming schedule across business and professional development, wellness, and elevated social experiences for members. We want this person to feel ownership over the calendar — bringing ideas to the table, identifying opportunities based on what our members want, and helping turn those ideas into well-executed experiences.The role sits at the center of a fast-moving calendar with many moving parts. Success here means keeping our systems accurate, managing logistics with precision, communicating clearly with members and the team, and delivering events that feel seamless, thoughtful, and distinctly Gevity.This is a full-time, on-site role based at the Gevity club in Austin, Texas. All work is performed in person at our location.ResponsibilitiesMember Programming & Event PlanningPartner with the Events & Partnerships Manager to build and manage Gevity’s monthly member programming calendarHelp identify programming opportunities across business and professional development, wellness, and elevated social experiencesTake ownership of moving programming ideas from concept through scheduling and executionManage incoming member event requests, including logging submissions, scheduling host meetings, and moving events through approvalReserve event spaces and maintain an accurate events calendar in AsanaSchedule and confirm recurring programming with instructors, practitioners, speakers, and hostsSystems & ReportingBuild and publish events in PeopleVine, including event details, capacity, ticketing, guest policies, and registration alertsMaintain event tracking and expense spreadsheets, including submissions, costs, attendance, feedback, and revenueCreate event graphics and manage in-club digital signageKeep event information and internal systems accurate and up to dateLogistics & Vendor CoordinationOrder food, beverages, and supplies according to established timelines and maintain event inventoryBook and confirm vendors, including bartenders, musicians, instructors, practitioners, and other event partnersConfirm AV and technical needs ahead of talks, workshops, and other programmingEnsure event details are finalized and communicated ahead of each eventCommunicationSend event reminders, push notifications, and weekly and monthly event updates to membersProvide guest lists to the front desk to support check-in and waiversCoordinate space closures, signage, staffing, and class schedule adjustments with club and studio teamsCommunicate clearly and proactively with event hosts, vendors, members, and internal teamsOn-Site Event ExecutionAttend and manage member, partnership, and private events on-siteSet up event spaces, including seating, AV, food and beverage stations, signage, and finishing detailsWelcome and check in members and guests, track attendance, manage the run of show, and serve as the on-site contact for vendors and hostsTroubleshoot issues in real time and keep events running smoothlyOversee teardown and reset spaces following each eventSupport hospitality activations and member experience moments throughout the monthPost-Event Follow-UpDistribute feedback surveys and follow-up communications and record responsesCapture event photos and content for internal and marketing useTrack attendance, feedback, and other event performance dataCompile data for monthly event reporting and use learnings to help inform future programmingQualificationsDependable. You learn new platforms quickly and take ownership of keeping information current.Able to lift and move event furniture and supplies and stand for extended periodsBased in the Austin area with reliable transportationPreferred Experience1–2 years of experience in events, hospitality, member experience, or community managementFamiliarity with Asana, Slack, Canva, Claude, Google Forms, and spreadsheets; training will be provided on PeopleVine and our signage platformExperience helping develop or manage an events or programming calendar is a plusA natural eye for how an event space looks and feelsGenuine interest in creating experiences that add value to a membership communityScheduleGevity events take place throughout the week, including weekday mornings and afternoons, evenings, and weekends. This is a full-time position, and hours will flex with the event calendar.Monthly programming is finalized by the 15th of the prior month, so schedules are set well in advance.
