Apply & track with Apply EdgeAbout the RoleParis Society Membership is an invitation-only global membership programme, offering privileged access and exclusive benefits across Paris Society restaurants, beach houses, Members Houses and a curated selection of hotels worldwide.The Membership Operations Coordinator plays a key role in the day-to-day operations of the Membership programme, ensuring that the infrastructure, information, systems and operational processes behind the Membership experience are managed accurately and efficiently.Working closely with the Head of Membership and Private Office, the dedicated Membership concierge team, the role acts as a key operational link between the concierge, participating restaurants, hotels and partners. The position ensures that Member requests, benefits, privileges and operational requirements are properly coordinated and delivered across the network.The role is highly operational and requires strong organisation, attention to detail, excellent follow-up skills and the ability to manage multiple requests and stakeholders simultaneously.The objective is simple: to make sure the Private Office and participating venues have everything they need to deliver the Membership promise seamlessly and consistently.Key ResponsibilitiesMember Onboarding & AdministrationCoordinate the onboarding of new Members, ensuring all required information and documentation are accurately captured.Maintain accurate and up-to-date Member profiles, preferences, benefits, credits and relevant information across Membership systems.Ensure Membership entitlements and benefits are correctly recorded and communicated to relevant teams.Support the Private Office with Member-related administrative requests and follow-ups.Maintain accurate Membership databases, records and documentation.Ensure changes to Member information, benefits or entitlements are reflected promptly across relevant systems.Private Office & Member Experience SupportWork closely with the Private Office to coordinate and facilitate Member requests, preferences, reservations and special arrangements.Act as an operational link between the Private Office and participating restaurants, hotels and partners to ensure requests are actioned accurately and efficiently.Follow up with venues and partners on reservations, special requests, Member benefits, preferences and other operational requirements.Ensure the Private Office has accurate and up-to-date information regarding venue availability, benefits, policies and Membership privileges.Proactively follow up on outstanding requests and resolve operational issues before they impact the Member experience.Support the Private Office in ensuring that Members receive consistent recognition and the full benefits associated with their Membership.Escalate complex, sensitive or recurring issues to the Membership Director when required.Venue & Partner CoordinationSupport the onboarding of participating restaurants, hotels and external partners.Coordinate the collection and maintenance of venue and partner information, including contacts, opening hours, booking procedures, benefits and specific Member privileges.Ensure participating venues and partners understand the Membership programme, benefits and operational procedures.Follow up with venues and partners on outstanding actions, operational issues and Member feedback.Maintain updated venue and partner contact lists and operational information.Coordinate with relevant teams to ensure new benefits, offers, venues or partners are properly implemented and communicated.Identify recurring operational issues and escalate them to the Membership Director with proposed solutions where appropriate.Systems & Membership OperationsSupport the day-to-day administration of Membership platforms, CRM systems and other operational tools.Ensure Member, venue and benefit information remains accurate and up to date across all relevant systems.Monitor data accuracy and identify inconsistencies or missing information.Coordinate with IT teams or external system providers regarding technical issues and follow up through to resolution.Support the implementation and testing of new Membership systems, tools and processes.Ensure operational teams are correctly briefed when new systems, benefits or processes are introduced.Maintain clear documentation of systems, processes and operational workflows.Reporting, Finance & AdministrationMaintain accurate Membership trackers, databases and operational records.Prepare regular reports on Membership activity, Member usage, benefits, credits and operational performance.Support the Membership Director with data collection and reporting for regular business reviews.Assist with the tracking of Membership-related invoices, costs, budgets and payments in coordination with Finance.Follow up on outstanding invoices, approvals and administrative matters.Maintain clear records of Membership-related expenses and operational commitments.Support basic data analysis and reporting to identify trends, operational gaps and opportunities for improvement.Standards, SOPs & TrainingMaintain and regularly update Membership SOPs, guidelines, procedures and operational documents.Ensure processes are clearly documented and accessible to the Private Office, venues and relevant partners.Support the preparation of training materials and operational briefings for participating venues and teams.Coordinate the communication of Membership updates, new benefits, procedures and operational requirements.Support the Membership Director in ensuring consistent standards across the Membership network.Collect feedback from the Private Office and participating venues and contribute to continuous improvement of operational processes.Activations, Events & ProjectsSupport Membership launches, events, activations and special Member initiatives.Coordinate operational requirements with venues, hotels, partners and internal teams before, during and after activations.Assist with guest lists, Member information, benefits, bookings, logistics and other administrative requirements.Support the Membership Director and Private Office on ad hoc projects and operational initiatives.Ensure all post-event follow-ups, invoices, feedback and outstanding actions are properly closed.Profile3–5 years of experience in luxury hospitality, private members' clubs, guest relations, luxury retail, concierge or high-end client services.Previous experience in an operations, coordination or administrative role is highly valued.Strong organisational skills and exceptional attention to detail.Highly structured, with excellent follow-up and time-management skills.Able to manage multiple priorities, stakeholders and deadlines simultaneously.Excellent written and spoken English; additional languages are highly valued.Confident using Microsoft Excel, CRM systems, membership platforms and reservation/hospitality systems.Comfortable working with data, trackers, reports and administrative processes.Discreet and trustworthy, with a strong understanding of confidentiality when handling Member information.Professional, polished and service-minded, with a genuine understanding of luxury hospitality standards.Proactive and solution-oriented, with the ability to take ownership of issues through to resolution.Comfortable working in a fast-paced, international environment where priorities can change quickly.Strong communication skills and confidence liaising with senior stakeholders, venues, hotels and external partners.Genuine passion for luxury hospitality, private membership and delivering exceptional Member experiences.
