an experienced, motivated, and results driven Multi Site Practice Manager to oversee the daily operations of our outpatient primary care clinics in Bellingham and Everett, Washington.This position requires a hands on leader who understands the complete workflow of an outpatient primary care practice and can effectively manage clinical operations, staff performance, patient care coordination, and administrative processes across multiple locations.The ideal candidate is an organized, proactive problem solver who can balance the operational needs of two clinics while maintaining high standards of patient care, employee accountability, and operational efficiency.The Practice Manager will divide their time between both locations based on operational needs and will work closely with clinical providers, support staff, and senior leadership to ensure both clinics operate successfully.Key ResponsibilitiesClinic Operations ManagementOversee daily operations of both outpatient primary care clinics, ensuring efficient workflows and consistent operational standards.Maintain an active on site presence at both locations to provide leadership, address operational challenges, and support clinical teams.Develop, implement, and maintain standardized policies, procedures, and workflows across both clinics.Monitor patient scheduling, provider schedules, clinic capacity, and patient flow to maximize efficiency and accessibility.Ensure appropriate staffing coverage and resource allocation based on patient volume and operational needs.Oversee referral coordination, ancillary services, and other processes supporting continuity of patient care.Identify operational inefficiencies and implement practical solutions to improve clinic performance.Ensure compliance with applicable healthcare regulations, patient safety standards, and organizational policies.Staff Leadership and ManagementProvide direct supervision and leadership to clinical support and administrative staff across both locations.Manage employee scheduling, attendance, performance, and daily staffing needs.Participate in the recruitment, interviewing, hiring, onboarding, and training of clinic personnel.Conduct employee performance evaluations, provide ongoing coaching, and address performance concerns promptly and professionally.Establish clear expectations and promote accountability, teamwork, and consistent performance standards.Foster a positive, collaborative, and professional work environment that supports employee engagement and retention.Serve as a primary point of contact for staff regarding operational questions, workflow concerns, and day to day challenges.Maintain effective communication between both clinics and senior leadership.Patient Care Coordination and ExperienceEnsure both clinics provide high quality, patient centered care and exceptional customer service.Monitor patient satisfaction and address concerns, complaints, and service recovery matters in a timely and professional manner.Collaborate with providers and clinical staff to improve patient access, appointment availability, and continuity of care.Evaluate patient flow and identify opportunities to reduce wait times and improve the overall patient experience.Support effective communication and coordination between providers, clinical support teams, and administrative personnel.Promote a culture of professionalism, compassion, and accountability in all patient interactions.Administrative and Financial OversightMonitor clinic performance indicators, including patient volume, provider utilization, scheduling efficiency, and operational productivity.Partner with revenue cycle management teams to address billing, coding, insurance verification, and reimbursement concerns.Ensure accurate and timely completion of clinic documentation and administrative reporting.Oversee inventory management, medical supplies, equipment needs, and purchasing processes.Monitor operational expenses and identify opportunities to improve cost efficiency without compromising patient care.Maintain accurate employee, operational, and clinic performance records in accordance with company policies.Prepare operational updates and performance reports for senior leadership as requested.Strategic Planning and Performance ImprovementCollaborate with senior leadership to establish operational goals and performance expectations for both clinics.Evaluate clinic performance and develop action plans to address operational challenges and opportunities for improvement.Implement initiatives to improve staff productivity, patient satisfaction, and overall clinic efficiency.Support the adoption of new technologies, electronic health record enhancements, and operational processes.Identify opportunities to streamline workflows and improve communication between clinic locations.Assist with organizational initiatives and future operational growth as needed.Promote consistency in service delivery, employee expectations, and patient care standards across both locations.Required QualificationsMinimum of 3 years of experience in outpatient healthcare practice management, preferably within a primary care setting.Demonstrated experience supervising clinical support and administrative personnel.Strong understanding of outpatient clinic operations, patient scheduling, clinical workflows, and healthcare administration.Working knowledge of electronic health record (EHR) systems and practice management software.Understanding of healthcare billing, insurance processes, and revenue cycle operations.Proven ability to manage competing priorities, resolve operational challenges, and make sound decisions independently.Strong leadership skills with the ability to coach, develop, and hold employees accountable.Excellent communication, organizational, interpersonal, and problem solving skills.Ability to adapt to changing operational needs in a fast paced healthcare environment.Ability and willingness to travel regularly between the Bellingham and Everett clinic locations.Preferred QualificationsBachelor's degree in Healthcare Administration, Business Administration, or a related field.3 to 5 years of outpatient primary care practice management experience.Previous experience overseeing multiple outpatient clinic locations.Experience managing practices with multiple providers and multidisciplinary clinical teams.Demonstrated success improving clinic efficiency, staff performance, and patient satisfaction.Experience implementing standardized clinical workflows and operational improvement initiatives.Compensation and BenefitsAltea Medical offers a competitive compensation package and
