We are looking for a proactive and well-organized Office Administrator to join our Dubai office.About the RoleThe Office Administrator will manage office administration, government registrations, business setup documentation, document renewals, AML-related administrative matters, and client coordination. The role includes performing these services for both KLOUDAC and its clients.Key ResponsibilitiesOffice Administration & Client Coordination· Manage the day-to-day administrative activities of the Dubai office.· Act as a key point of contact for clients regarding assigned government, administrative, and documentation services.· Clearly communicate document requirements, procedures, expected timelines, and application status to clients.· Coordinate with KLOUDAC's accounting, tax, onboarding, and business setup teams.· Maintain accurate electronic and physical records of applications, approvals, certificates, correspondence, and client documents.· Prepare regular status updates and escalate delayed, incomplete, or urgent matters to management.Government Registrations· Handle FTA-related registrations, amendments, deregistrations, and administrative updates for KLOUDAC and its clients.· Process Dubai Customs registrations, renewals, amendments, and related documentation.· Coordinate registrations, applications, and follow-ups with mainland, free-zone, and other relevant UAE authorities.· Monitor submitted applications and follow up with the relevant authorities and clients until completion.· Ensure all supporting documents are complete, accurate, properly approved, and submitted on time.Business Setup Documentation· Prepare and coordinate documentation for mainland and free-zone company formation, licence renewal, amendments, share transfers, and other corporate changes.· Assist with application forms, declarations, resolutions, letters, and supporting corporate documents.· Coordinate with clients, licensing authorities, free zones, government departments, and service providers.· Track each assignment from document collection through submission and final approval.AML, KYC & Client Documentation· Support client onboarding by collecting and checking KYC and due diligence documents.· Assist with AML-related registrations and administrative requirements, including goAML matters where applicable.· Maintain client KYC files, beneficial ownership information, risk-assessment documents, and supporting records.· Follow up with clients for missing, incomplete, or expired compliance documents.· Escalate unusual, incomplete, or higher-risk matters to the responsible manager.· Maintain strict confidentiality when handling client, shareholder, financial, and identification information.Document Expiry Monitoring· Maintain an accurate expiry tracker for trade licences, establishment cards, visas, Emirates IDs, tenancy contracts, passports, insurance policies, customs registrations, and other regulatory documents.· Send timely renewal reminders to internal teams and clients.· Follow up regularly to ensure renewals and filings are completed before the applicable deadlines.· Update KLOUDAC's workflow and document-management systems with the latest status and supporting documents.Candidate Requirements· Bachelor's degree or diploma in Business Administration, Commerce, Accounting, or a related field.· Minimum 2-3 years of relevant UAE experience in office administration, government registrations, business setup, or a professional services firm.· Practical experience with FTA, Dubai Customs, mainland, and free-zone portals and procedures.· Familiarity with AML, KYC, UBO, and goAML requirements will be an advantage.· Strong client coordination, document-management, and follow-up skills.· Excellent written and spoken English; Arabic language skills will be an added advantage.· Proficiency in Microsoft Word, Excel, Outlook, and online government portals.· Strong attention to detail and the ability to manage multiple clients and deadlines.· Professional, responsible, confidential, and capable of working both independently and as part of a team.· Strong organisation, client-service, communication, initiative, and problem-solving skills.What We Offer· An opportunity to join a growing UAE accounting and business advisory firm.· Exposure to government registrations, business setup, and client administration assignments.· Professional development and career growth opportunities.· A supportive and collaborative working environment.· Competitive salary based on experience and capabilities.How to ApplyInterested candidates may apply through LinkedIn with an updated CV.
