The company’s foresight, adaptability, and ingenuity, along with its ability to work in remote regions, have contributed to its long-term stability and ongoing success.We are seeking an organised and proactive Office Administrator & Personal Assistant to join our Cottesloe office.Reporting directly to the Managing Director, this is a varied role providing executive and administrative support to the Managing Director and General Manager, while also assisting with the day-to-day coordination of office and business operations.This position would suit someone who enjoys variety, takes initiative and is comfortable managing multiple priorities within a busy contracting environment. Key ResponsibilitiesManaging the Managing Director and General Manager’s inboxes, diaries, correspondence and priorities.Providing administrative support including client liaison, marketing, company events, reports, submissions and travel arrangements.Preparing agendas, presentations, reports and meeting minutes.Coordinating office facilities, supplies, equipment, contractors and service providers.Providing general administrative and document support across the business.Assisting with company document preparation, formatting and editing.Assisting IT support with hardware setup and basic office IT coordination.Supporting tender submissions, client documentation and project administration.Processing invoices, reconciling expenses, raising purchase orders and assisting with procurement.Maintaining Transport Accreditation documentation, records and assisting with audit coordination.QualificationsCandidates should possess strong Office Administration and Administrative Assistance skills, with experience coordinating daily office activities and supporting management.Candidates should possess effective Communication and Customer Service skills to manage enquiries, support internal teams, and maintain professional relationships with clients and suppliers.Candidates should possess practical knowledge of Office Equipment and common office software (e.g., email, word processing, spreadsheets) to support efficient operations.Relevant skills such as attention to detail, time management, and organizational abilities are highly beneficial.Prior experience in a similar office-based role, preferably in construction, mining, or related industries, is an advantage.A certificate or qualification in Business Administration or a related field is desirable but not mandatory.
