The company has completed multiple rounds of financing, launched its products in overseas markets, and is now building its Singapore-based APAC team.The Singapore team is currently in its early 0-to-1 stage, with an initial team size of around 15-20 people. The team will support regional collaboration, R&D coordination, and local operations. We are looking for an Office & Admin Specialist to support the setup and daily operations of the Singapore office, while also assisting with local recruitment, HR administration, and work pass coordination.Key ResponsibilitiesManage daily office operations in Singapore, including workplace environment, office supplies, asset management, equipment maintenance, visitor reception, couriers, and document handling.Coordinate with local vendors and service providers, including property management, cleaning, IT, maintenance, renovation, and office procurement vendors.Support the 0-to-1 setup of the Singapore office, including office search, renovation coordination, facility setup, and basic administrative process building.Act as a coordination point between Guangzhou, Indonesia, and Singapore teams for cross-border administrative matters, documents, logistics, and office operations.Support local recruitment execution, including job postings, CV screening, interview coordination, offer follow-up, and onboarding arrangements.Handle employee onboarding/offboarding, employee records, attendance, basic HR administration, and employee experience matters.Coordinate EP/SP work pass applications, renewals, cancellations, and related documentation to support local employment compliance.Organize team activities, festive events, employee care initiatives, and continuously improve workplace experience.RequirementsBachelor’s degree or above.Minimum 3 years of experience in office operations, administration, HR administration, or a related role in Singapore.Experience in office setup, vendor management, office relocation, office search, or renovation coordination is highly preferred.Familiarity with local recruitment channels and processes in Singapore; experience using LinkedIn, MyCareersFuture, JobStreet, or similar platforms is a plus.Familiarity with MOM employment regulations, EP/SP work pass processes, CPF, and basic employment compliance in Singapore is preferred.Fluent in both English and Mandarin, with the ability to communicate with local vendors/service providers in English and coordinate with China-based teams in Mandarin.Detail-oriented, responsible, service-minded, and able to communicate effectively across teams and regions.Proficient in Microsoft Word, Excel, PowerPoint, and common office collaboration tools.Must already have valid work authorization in Singapore, such as Singapore Citizenship, Singapore PR, or an existing valid work pass that allows employment in Singapore.Ideal CandidateThis role is ideal for someone who enjoys building things from scratch and wants to be part of an early-stage Singapore team. You will not only handle daily administration, but also help set up the office, build local vendor and HR admin processes, support recruitment execution, and act as a key coordination point across Singapore, China, and Indonesia teams.
