Our Association brings together 53 men’s and women’s professional football leagues, representing more than 1,328 clubs in 34 countries across Europe. https://europeanleagues.com We are currently seeking an Office & Events Manager to serve as a central point of coordination and provide day-to-day support across administrative, organisational, event management and office management functions.This position is based in Nyon, Switzerland, and requires the successful candidate to reside within commuting distance of the office. Job informationJob title: Office & Events ManagerContract type: Permanent (open-ended)Location: Le Martinet - Chemin du Canal 1, 1260 Nyon (SUI) - (home office up to 2 days per week)Start date: January 2027 Key ResponsibilitiesExecutive, Administrative & Office Support· Provide comprehensive administrative and executive support to the General Secretary (GS) and the team based in Nyon.· Coordinate calendars, meetings, appointments, travel, accommodation and related logistics for the President, General Secretary and the Nyon-based team.· Organise internal meetings and office activities, including meeting logistics, agendas, dossiers and briefing materials.· Draft and prepare correspondence, presentations, reports and other documentation as required.· Support communications on behalf of the GS and handle incoming and outgoing correspondence, calls and general office communications.· Liaise with Members’ Administrations across Europe, football stakeholders and EU Institutions, coordinating meetings, logistics, agendas and related documentation.· Liaise with office providers, suppliers and external service partners, including procurement of office supplies and management of supplier relationships.· Maintain and manage electronic and physical filing systems and contact databases.· Monitor and maintain staff leave and vacation records.· Ensure the smooth and efficient running of day-to-day office operations.· Undertake additional administrative duties as required. Finance & AccountingTo support and assist the Head of Finance in:· Managing internal and external invoices, monitor payments and ensure compliance with financial processes.· Processing expense reimbursements and petty cash reconciliations.· Monitoring membership fee payments and follow up on outstanding balances.· Maintaining monthly bookkeeping records.· Reconciling accounting records with the external accounting firm and fiduciary.· Supporting the preparation of year-end financial reporting and related documentation. Event Management· Plan and deliver meetings and events, including General Assemblies, Board Meetings, Workshops and Seminars organised by the European Leagues and/or in coordination with member leagues and other football stakeholders.· Coordinate event logistics, venues, travel arrangements and participant communications.· Prepare meeting materials and documentation for internal and external stakeholders.· Coordinate event operations onsite while liaising with external providers and contractors.· Act as the key onsite contact and support the host during events. Profile & Competences· Excellent communication skills are essential for this role. The successful candidate must demonstrate high-level verbal and written communication skills, with the ability to communicate clearly, professionally and diplomatically with colleagues, senior management, external stakeholders and other relevant parties.· Service-oriented, with a strong commitment to supporting colleagues and stakeholders.· Highly organised, with excellent attention to detail.· Proactive, self-motivated and capable of working independently.· Strong multitasking and prioritisation skills.· Reliable, flexible and adaptable in a dynamic environment.· Available to occasionally work outside standard office hours and travel abroad when required, including for events and meetings. Professional Experience· Minimum of 5 years of relevant professional experience in a similar administrative, office management, executive support or event management role.· Experience working within an international and multicultural environment is essential. Language Skills· Proficiency in English and French, both spoken and written, is mandatory.· Additional European languages would be considered an asset. Education· Commercial, administrative or business-related qualification.· Executive Assistant / Management Assistant qualification is highly desirable.· Additional training or certification in event management would be an advantage. Technical Skills· Proficiency in Microsoft Office is essential, including advanced working knowledge of Microsoft Word, Excel, PowerPoint and Outlook.· Basic familiarity with AI tools, together with a willingness to learn, adopt, and use AI tools regularly to enhance efficiency and productivity. ReportingReports directly to the General Secretary with a functional reporting line to the Head of Finance for finance and accounting matters.
