The role is responsible for maintaining an organized office environment, supporting day-to-day administrative activities, coordinating deliveries and meetings, and safely transporting staff, clients, and documents as requiredJob ResponsibilitiesAssist in daily office operations, including managing office supplies, monitoring inventory, and ensuring the office is clean and organized.Assist with filing, scanning, copying, and organizing important documents and records as required.Answer phone calls, handle inquiries, route messages to the appropriate team members, and greet clients and visitors professionally.Monitor and manage incoming and outgoing correspondence, including emails and physical mail.Safely drive and transport staff, clients, or documents to various locations as requested, ensuring timely arrivals and departures.Ensure the assigned vehicle is regularly maintained, fueled, and cleaned, and notify the supervisor of any issues requiring attention or repair.Assist with arranging deliveries and collections, manage inventory deliveries, and ensure receipt of goods is accurately recorded.Set up meeting rooms, prepare necessary materials for meetings, and ensure guests are appropriately assisted.Assist with arranging transportation, including booking flights, accommodations, and other logistical requirements for staff members.Assist in organizing office events, employee activities, and meetings.Define annual performance goals in discussion with the Supervisor/Line Manager and ensure agreed objectives are achieved.Identify training and development requirements with the Line Manager and ensure required training is arranged and attended.Continuously develop and maintain the competencies and skills required to perform the role effectively.Qualifications and EducationHigh School Diploma or equivalent.Additional certifications or training in office management, logistics, or a related field.Work ExperienceMinimum of 2–3 years of experience as a Driver with a valid driving license.Previous experience as an Office Assistant or in a similar administrative role.Skills and KnowledgeProficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.Strong organizational skills.Good communication skills.Ability to work independently.Strong team collaboration skills.Good attention to detail.Ability to multitask effectively.
