This role combines administrative excellence with operational oversight, supporting our leadership team and ensuring smooth day-to-day business operations. The ideal candidate will be organized, proactive, and skilled at managing multiple priorities in a fast-paced environment.Key ResponsibilitiesProvide comprehensive executive and administrative support to leadership, including scheduling, correspondence, and meeting coordinationManage office operations, including vendor relationships, supplies, equipment maintenance, and facility managementHandle accounts payable/receivable, invoicing, and financial record-keepingCoordinate project scheduling, permits, and documentation as neededMaintain organized filing systems (both digital and physical) and ensure document accuracyManage phone, email, and client inquiries with professionalism and efficiencyOversee office technology and troubleshoot basic IT issuesPrepare reports, presentations, and business correspondenceCoordinate company events, meetings, and travel arrangementsSupport HR functions including onboarding, employee records, and benefits administrationPerform additional duties as needed to support business operationsRequired Qualifications3+ years of administrative, office management, or executive assistant experienceProficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)Strong organizational and time management skills with ability to manage multiple prioritiesExcellent written and verbal communication skillsProfessional demeanor and ability to interact professionally with clients and staffHigh attention to detail and accuracyAbility to work independently and as part of a teamReliable transportation and valid driver's licensePreferred QualificationsExperience in the construction, painting, or trades industryFamiliarity with accounting software or bookkeepingExperience with project management tools or CRM systemsKnowledge of QuickBooks or similar accounting platformsExperience managing customer relationships and client communicationsBilingual capabilities (English/Spanish)What We OfferCompetitive salary: $65,000 – $75,000 (based on experience)Health insurance benefitsProfessional development opportunitiesCollaborative and supportive work environmentGrowth potential within a growing companyTNG123
