Apply & track with Apply EdgeJAM Event Services is looking for a highly organised, people-oriented Office Manager & HR Administrator to join our Dubai office on a full-time basis.This is a hands-on role covering all facets of office operations alongside high-level HR and administrative support. It suits someone with prior office management and HR coordination experience who thrives in a fast-paced environment, enjoys multitasking, and can independently juggle a wide range of operational priorities.
- Ensure the smooth daily running of the office and oversee all administrative functions to maintain an efficient, professional working environment.
- Supervise and coordinate office staff, vendors and service providers including cleaning, IT support, security and maintenance teams.
- Manage procurement and inventory of office supplies.
- Monitor and schedule regular maintenance of office equipment and coordinate repairs or upgrades.
- Oversee utilities and service contracts, ensuring timely renewals and payments.
- Liaise with building management on maintenance, access control, parking allocation and shared facilities.
- Maintain organised records of company licences, trade licences, tenancy agreements and renewal schedules.
- Oversee incoming and outgoing correspondence and manage digital and physical document archiving to company standards.
- Support onboarding and offboarding, including desk setup and exit clearance coordination.
- Handle IT setup for new employees, including software installation and access to company folders on SharePoint.
- Act as the point of contact for staff queries relating to administration, logistics and facilities.
- Assist in implementing company-wide administrative policies and standard operating procedures.
- Oversee general office upkeep to maintain a welcoming and tidy workspace.
- Greet and look after guests professionally, manage the front door, receive deliveries and maintain visitor sign-in procedures.
- Maintain strict confidentiality of data, employee information and sensitive company records.
- Handle ad hoc executive support such as flight bookings, business travel and related coordination.HR ADMINISTRATION
- Oversee the hiring process for new full-time staff members.
- Manage visa processing, work permits and renewals in coordination with the PRO and relevant government authorities.
- Handle core HR documentation including employment contracts, promotion letters and termination notices.
- Maintain and update HR databases, employee records and files in line with company policy and data protection standards.
- Administer the HR software platform, provide employee access and keep records accurate and up to date.REQUIREMENTS
- Proven experience working within the GCC region, particularly the UAE and KSA.
- Knowledge of UAE and KSA labour law, employment regulations and compliance requirements.
- Experience managing the full employee lifecycle: recruitment, onboarding, contracts, employee relations, performance management and offboarding.
- Solid understanding of work permit, visa, immigration and government relations processes across the GCC.
- Proven experience in office management.
- Excellent organisational and communication skills.
- Strong knowledge of compensation and benefits administration, payroll coordination and workforce planning.
- Experience handling disciplinary matters, grievance procedures and conflict resolution in line with local labour law.
- Proficiency with HRIS platforms and office productivity tools (Microsoft Office 365, Excel, SharePoint).
- Experience managing vendors, procurement and facilities.
- Tech-savvy, with a quick aptitude for new systems and apps.
- Comfortable working independently and taking initiative.
- High level of discretion and professionalism in handling confidential information.
- Knowledge of health-and-safety compliance and office best practice.Please note: candidates who already hold their own UAE residence visa are preferred.
