Position: Office Manager Location: Greenbrae, CA (In-office, Monday-Friday, 8:00 a.m.-5:00 p.m.) Compensation: The expected hourly base for this role is approximately $39hr to $45hr ($80,000 to $95,000 approx. year), depending on experience The Office Manager will oversee the day-to-day operations of our Greenbrae offices while providing operational and administrative support to other company offices, including out of state, as needed. This role is responsible for creating an organized, efficient, and welcoming workplace while ensuring consistency across office operations.Reporting to the COO, the ideal candidate is proactive, highly organized, detail-oriented, and a strong communicator. This person will be comfortable managing multiple priorities and stepping in where needed to support office operations and cross-functional teams, including Operations, HR, and Accounting.Responsibilities:Own day-to-day workplace operations and ensure office spaces are organized, functional, well-equipped, and welcoming.Provide backup operational and administrative support to other company offices, as needed.Develop and maintain office policies, procedures, and workflows to create consistency and efficiency across locations.Manage office and kitchen inventory, supplies, shared spaces, and administrative calendars.Serve as the primary point of contact for visitors and general office communications.Manage incoming and outgoing mail and packages across company entities, including sensitive documents.Maintain corporate records, compliance documentation, filings, renewals, and related deadlines.Coordinate facilities needs, maintenance, workplace improvements, and vendor relationships.Plan and coordinate internal meetings, company events, and offsites.Partner with HR on new hire onboarding logistics, including workstation setup, equipment readiness, and office orientation.Maintain emergency response plans, safety protocols, and workplace preparedness procedures.Coordinate IT and workplace technology needs with internal teams and external vendors.Support office expansions and new location setup, including vendors, supplies, logistics, and operational readiness.Coordinate operational and logistical needs for company properties and special projects.Provide flexible administrative and project support to Operations, HR, Accounting, and other teams as business needs arise.Partner with leadership on operational priorities and special projects, providing organization, coordination, and follow-through.Identify and implement opportunities to improve processes, efficiency, and the overall employee experience.Desired Skills and Experience:5+ years of experience in a professional, in-office environment, ideally in office management, workplace operations or a similar role.Strong organizational skills with the ability to manage multiple priorities and projects.Warm, professional, and effective written and verbal communication skills.Sound judgment and discretion when handling confidential or sensitive information.Comfortable with technology and motivated to improve processes and operational efficiency.Proactive, resourceful, and solutions-oriented.Flexible and team-oriented, with a willingness to support different offices, departments, and business needs.Strong attention to detail and follow-through.
