We’re a boutique leadership and organizational development consulting firm. We help executives build organizations that run well. We’re hiring the person who will run ours. What ChangedOur administrative and HR practices have been managed collaboratively by owners, staff, and a part-time colleague who is moving into retirement. This worked well enough when we were smaller. We’ve been growing steadily, and we’re ready for a full-time office manager. We’re consolidating three functions into one seat. The person we hire will run the administrative, financial, and operational side of the business, with considerable authority and responsibility behind it.What You’ll OwnThe financials. Full-cycle bookkeeping in QuickBooks: client invoicing and collections, payables, coding, reconciliations, and month-end close. You’ll be our main contact with our outside accounting firm, providing quarterly and yearly reports. Ownership makes decisions from the monthly picture you produce. The people. Process payroll. Onboarding and offboarding. Benefits enrollment and the annual renewal with our broker. Employee records. Keeping a small Nevada employer on the right side of what it has to get right. The volume is manageable. Knowledge, oversight, and accuracy are what matter. The office. Scheduling and care for the office calendar is the top priority. You’ll also be responsible for the space we work in and the vendors we use: supplies, equipment, service contracts and their renewals, the building leasing relationship, and making sure the environment clients walk into is friendly and welcoming.Year One HighlightsIn ninety days, you’ve taken payroll, receivables, and payables off everyone else’s desk, closed the month on schedule, and established yourself with our accountants. By six months you’re running the full close cycle from a compliance and filing calendar you built. By the end of the year you’ve run an open enrollment, documented the operation well enough that it could be handed to someone else, and improved at least two things about how this firm runs behind the scenes. We’re hiring someone who takes ownership and pride in their work. We’re not hiring a caretaker.Your ExperienceYou have unimpeachable integrity. This role touches every dollar that moves through the firm. You’ve run the administrative and financial operations of a small organization for at least five years. The full range of functions, not one slice of it.You know QuickBooks the way a professional knows it. When an account won’t reconcile, you find out why. You've owned payroll through a service provider like Paychex or ADP. You know the submission cycle, you catch errors before they go out, and you know exactly where the vendor's responsibility ends and yours begins. You’ve managed a complex scheduling process and coordinated a range of meetings and events. You’ve handled onboarding, benefits enrollment, and the compliance side of employing people, and you know where your knowledge ends. You don’t wait to be assigned work. You keep your own calendar of closes, filings, and renewals, and you hit it without reminders. You’re discreet by instinct and by experience. In a firm this size you’ll see compensation and performance information about people you sit beside. You’d rather raise a problem early than have it found later.Compensation$80,000 to $88,000 base, depending on experienceAnnual performance bonus of 5 to 10 percentHealth and dental insurance
