Office Manager in Retail Construction Supplies - $90k-$100k plus bonus Anaheim, CASummaryPotential to grow into a senior operations leadership role as the company expands. Our retail construction building supply company is seeking a highly capable Office Manager to take ownership of the company’s back-office operations and become a key business partner to the owner and General Manager. This is more than a traditional Office Manager position. We are looking for someone with the business acumen, judgment, initiative, and operational discipline to understand how the different parts of a small business connect to make sure work moves smoothly from the operational floor through the back office.The right person will initially be hands-on with accounting administration, purchasing and inventory processes, payroll, HR administration, billing, vendor management, and general business operations. The ideal candidate should be able to identify problems, improve processes, make sound decisions, and help the company operate with less dependence on the owner over time.We are currently a small business that is growing with plans for continued growth. This hire is intended to be an important part of that growth. As the company expands, the role has the potential to develop from a hands-on Office Manager into a leader responsible for a broader back-office team. This position will have no direct reports to start. This person will report directly to the President/Owner.ResponsibilitiesTake ownership of the company’s day-to-day back-office operations. Includes Operations, Accounting, Purchasing, Inventory, vendor relations, and HR/Payroll duties.Create a smoother connection between the administrative/accounting side of the business and the General Manager and operational team.Improve the flow, accuracy, and timeliness of paperwork and financial information.Reduce the number of routine operational questions and decisions that require the owner’s involvement. Free owner greater capacity to focus on sales, marketing, relationships, strategy, and growth.Help establish stronger processes, accountability, and communication throughout the company.Coordinate payroll through Paychex.Develop an increasingly strong understanding of the business and become a trusted thought partner in improving its performance.Manage accounts payable and accounts receivable and bank reconciliations - resolve vendor issues.Prepare and send customer statements.Maintain and calculate applicable flooring commissions.Maintain accurate financial records within QuickBooks Desktop.Understand the company’s P&L, gross margin, inventory levels, revenue trends, and other key financial indicators.Help assemble a simple monthly financial review/dashboard for ownership.Support the purchasing process from purchase order through receipt, invoice matching, and payment.Maintain personnel and required employment recordsRecruit for hourly or operational positionsRequirementsMeaningful experience in bookkeeping, accounting administration, business operations, office management, or a similar multifunction role.Strong working knowledge of QuickBooks, preferably QuickBooks Desktop.Hands-on experience with accounts payable and accounts receivable.Understanding of basic accounting concepts, including P&L statements, gross margin, revenue, expenses, and cash flow.Experience with purchasing, vendors, purchase orders, and/or inventory.Ability to manage a wide variety of responsibilities without requiring constant direction.Good judgment and a demonstrated ability to solve problems independently.Experience with Paychex or a similar payroll/HR platform.Experience in construction, building products, distribution, flooring, paint/coatings, waterproofing, specialty retail, or a related environment, preferred.Experience with POS systems, preferredAssociate’s or bachelor’s degree in accounting, finance, business, or a related field is a plus.Experience with Microsoft Excel and Word.
