About the CompanyOur client is a licensed Commercial General Contractor based in Orlando. The company has been operating since 1976 and works across commercial construction including, ground-up commercial construction, warehouses, pre-engineered metal buildings, airport hangars, and turnkey commercial projects.About the RoleWe are hiring an Office Manager to be right-hand role to the General Contractor. The Office Manager will serve as the operational backbone of the office — keeping projects moving, vendors accountable, and documentation airtight. Candidates with hands-on experience in construction who are fluent in industry terminology (submittals, Notices to Proceed, permit workflows) will thrive in this position.Responsibilities:Coordinate with county and municipal offices to submit, track, and close out building permitsCommunicate with material suppliers, obtain quotes, and manage delivery schedulesIdentify and resolve invoice or delivery discrepancies in a timely mannerMonitor project budgets, track invoices, and process purchase ordersMaintain organized and accurate records for contracts, RFIs, change orders, submittals, and lien waiversManage the GC's schedule, coordinate meetings, and draft professional correspondenceOversee day-to-day office operations to ensure smooth workflowAssist project managers with subcontractor agreements, COI collection, and scheduling logisticsQualifications:Background in construction administration, project coordination, or a GC/subcontractor office environmentFluent in construction terminology: RFIs, submittals, change orders, Notices to Proceed, lien waiversExperience with permit applications and county/municipal processes in Florida (preferred)Required Skills:Strong financial literacy: comfortable with purchase orders, AIA billing, and project budgetsHighly organized, proactive, and capable of managing multiple projects simultaneouslyStrong written and verbal communication skills; bilingual in Spanish or Portuguese is a plusProficient in Microsoft Office; experience with Procore, Buildertrend, or similar platforms is a plusComfortable working in direct partnership with ownership — this is a high-trust, high-visibility roleAble to commute Monday through Friday to zip code 32826What we offer:A collaborative, fast-paced environment where your contributions have direct impactClose working relationship with company leadership and project teamsOpportunity to grow with an organization that values operational excellenceCompetitive compensation commensurate with experience
