Apply & track with Apply EdgeJOB OVERVIEWThe Office Manager is responsible for overseeing the day-to-day administrative and facilities operations of Daman Securities' office, ensuring a well-organized, efficient, and professional working environment. The role manages office supplies, vendor relationships, and facilities upkeep, provides administrative support to senior management, and coordinates with internal departments and external service providers to ensure smooth daily operations.KEY DUTIES & RESPONSIBILITIESOffice & Facilities ManagementOversee the day-to-day operations and upkeep of the office, ensuring a clean, safe, and professional working environment.Manage relationships with landlords, building management, and facilities service providers.Coordinate office maintenance, repairs, and renovations as required.Ensure adequate office supplies, equipment, and stationery are maintained and replenished.Vendor & Supplier CoordinationManage vendor contracts and service level agreements for office-related services, including cleaning, security, catering, and courier services.Source and negotiate with suppliers to ensure cost-effective procurement of office goods and services.Monitor vendor performance and address service issues promptly.Administrative Support & CoordinationProvide administrative support to senior management, including scheduling, correspondence, and meeting coordination.Coordinate travel arrangements, visas, and accommodation for staff and visiting executives.Organize company events, meetings, and internal functions.Manage incoming and outgoing correspondence, courier services, and front-of-house reception duties.Health, Safety & ComplianceEnsure the office complies with health, safety, and fire safety regulations.Maintain records of office assets, contracts, and compliance documentation.Support business continuity planning for office-related matters.Team Supervision & GeneralSupervise and support administrative staff, such as receptionists including scheduling and performance oversight.Manage the office budget, tracking expenses and identifying cost-saving opportunities.Uphold company values throughout business practices and utilize sound judgment in decision making.Any other additional duties as may be required by management based on needs of the business.POSITION REQUIREMENTSEducational QualificationsBachelor's degree in Business Administration or a related field.Work Experience4–6 years of experience in office management, administration, or facilities coordination, ideally within a financial services or corporate environment.Experience managing vendor relationships and office budgets.Skills & Personal AttributesStrong organizational and multitasking skills, with excellent attention to detail.Excellent communication and interpersonal skills, with the ability to liaise professionally with staff, vendors, and visitors.Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).Strong problem-solving skills and the ability to work independently.Discretion and professionalism in handling confidential information.
