You'll own the day-to-day running of the workplace, from facilities and vendor management to procurement, logistics, and cross-functional administrative support, keeping everything behind the scenes running without a hitch. You’ll also assist the on-site HR management in coordination with headquarters, as needed.This role goes beyond typical office administration. You'll also have the opportunity to support overseas project operations, coordinate with headquarters, and help create an environment where the team can do their best work. It's a great fit for someone who takes ownership, thrives on variety, and knows how to get things done in a fast-moving startup.What You'll DoManage daily administrative operations for the office, including office environment maintenance, office supplies procurement, asset management, and vendor managementCoordinate facility operations, liaise with building management, handle maintenance requests, manage office access, and support a safe and functional workspaceCoordinate client reception, team-building activities, and company eventsAssist with on-site HR management, employee onboarding and offboarding proceduresSupport overseas project operations including procurement coordination, logistics, and contract and invoice managementLiaise with headquarters on local compliance, documentation submissions, and cross-border administrative coordinationWhat We're Looking ForRequired3–5 years of experience in an office management, administrative, or operations coordinator roleFamiliarity with California workplace regulations, including safety compliance (Cal/OSHA) and local business requirementsExperience in managing office vendors, processing invoices, and tracking contractsStrong organizational and multitasking skills with high attention to detailClear and professional written and verbal communicationAbility to manage multiple tasks simultaneously and proactively identify and solve problemsProficiency with Google Workspace and/or Microsoft OfficeNice to HaveExperience supporting overseas operations or cross-border logistics and procurementPrior experience in a tech startup or fast-growth environment
