Job DescriptionThe Office Manager / Reservationist plays a key role in both the administrative organization of the restaurant and the overall guest experience. This position is responsible for managing the reservation book, guest communications, and daily office needs while working closely with the General Manager and Host team to ensure smooth operations.The ideal candidate is highly organized, proactive, hospitality-driven, and confident managing a high-volume reservation book. This role requires full working knowledge of Resy and the ability to strategically manage reservations, table inventory, pacing, VIPs, and guest requests while maximizing covers without compromising the guest experience.Key ResponsibilitiesManage the restaurant’s daily reservation book and guest communications.Maintain complete ownership of Resy, including reservations, floor plans, table inventory, pacing, waitlists, guest profiles, VIP notes, and reporting.Review reservations in advance to identify VIPs, large parties, celebrations, special requests, and potential operational challenges.Optimize reservation availability and table utilization to maximize covers and revenue while maintaining service standards.Manage reservation inquiries, modifications, cancellations, waitlists, and special requests.Maintain accurate and detailed guest profiles, preferences, and reservation history.Coordinate closely with the General Manager, Host team, Events, and Operations regarding daily reservations and upcoming business.Assist with large-party and private dining inquiries and ensure proper handoff to the appropriate team.Support daily office administration, including emails, calendars, documents, reports, trackers, filing, and general organization.Maintain organized restaurant records and ensure important requests and administrative tasks are completed on time.Provide additional administrative and operational support to management as needed.Qualifications2+ years of experience in restaurant reservations, hospitality, office management, or guest relations.Advanced knowledge of Resy is required, including reservation management, floor plans, table assignments, pacing, guest profiles, VIP notes, waitlists, and reporting.Experience in a high-volume, upscale restaurant or hospitality environment strongly preferred.Strong proficiency with Google Workspace, email, spreadsheets, calendars, and administrative systems.Excellent written and verbal communication skills.Experience handling VIP guests, large parties, and high reservation volume.Personal AttributesHighly organized, proactive, and detail-oriented with exceptional follow-through.Warm, polished, and professional when communicating with guests.Calm and solutions-focused in a fast-paced, high-pressure environment.Strong sense of urgency and ability to manage multiple priorities simultaneously.Discreet and professional when handling VIP and confidential guest information.Collaborative, dependable, and willing to jump in wherever needed.Performance ExpectationsMaintain an accurate and strategically managed Resy book at all times.Ensure floor plans, reservations, and table assignments are fully prepared ahead of each service.Proactively communicate VIPs, special requests, large parties, and reservation concerns to management.Maximize reservation availability and covers while protecting the quality of service and guest experience.Respond to guest and internal communications in a timely and professional manner.Maintain an organized and efficient office environment with strong attention to deadlines and follow-through.Take ownership of responsibilities and ensure tasks are completed accurately without requiring repeated follow-up.
