Apply & track with Apply EdgeThe Office Manager is responsible for maintaining the day-to-day administrative and operational needs of the office, coordinating the onboarding experience for new employees, and providing operational support to the TAG Reserved Spirits brands and sales team. This is a highly hands-on role that requires strong organization, attention to detail, responsiveness, follow-through, and the ability to manage multiple priorities throughout the day. The Office Manager will serve as a central point of coordination for office needs, employee onboarding logistics, building access, supplies, deliveries, events, and select sales operations.Key Responsibilities1. Office Administration & ManagementManage the day-to-day administrative needs of the office and serve as a primary point of contact for general office requests.Receive, sort, and distribute incoming packages and mail, including FedEx, UPS, USPS, and other deliveries.Prepare and mail outgoing packages, documents, samples, and other materials on behalf of employees and teams.Answer incoming phone calls and direct inquiries to the appropriate individual or department.Greet and assist visitors, guests, candidates, vendors, and other individuals entering the office.Coordinate and facilitate office lunches, catering, snacks, beverages, and other food and beverage needs.Maintain appropriate inventory of food, beverages, and supplies for office refrigerators, kitchens, and common areas.Monitor general office supply inventory and coordinate replenishment as needed.Assist with planning, coordinating, and executing company and office events.Coordinate various office vendors, building-related requests, deliveries, and service appointments as needed.Complete administrative errands and other office-related tasks as assigned.Maintain an organized, professional, and functional office environment.Provide general administrative support to employees and leadership as needed.2. New Hire Onboarding & Office SetupThe Office Manager will coordinate the logistical and administrative aspects of new employee onboarding, with the primary focus being the week leading up to a new hire's start date and their first day in the office.Coordinate onboarding logistics in advance of a new employee's first day.Maintain inventory and availability of company computers and other required equipment.Prepare and organize new hire workstations, including desks, monitors, equipment, supplies, and other required materials.Log into and test new hire technology and profiles prior to their start date to ensure systems and equipment are functioning properly.Coordinate welcome materials and first-day packages as needed.Prepare and send first-day communications and logistical information to new hires.Coordinate the new hire's arrival on their first day, including meeting them at the elevator or building entrance when appropriate.Ensure new hires are introduced to their appropriate manager and/or team members on their first day.Coordinate parking validation for candidates and new hires as needed.Add newly hired employees to the appropriate monthly parking program once they officially join the company.Coordinate building access and key fob setup for new employees.Gather and maintain required building access and identification card information.Coordinate with property management, building personnel, parking providers, security, and other external vendors regarding new hire access and onboarding requirements.Communicate new hire information to external companies or locations outside of the primary office to ensure all appropriate parties are informed and prepared.Track onboarding requirements and follow up on outstanding items to ensure everything is completed prior to or on the employee's first day.Provide ongoing logistical support related to employee office access and equipment as needed.3. TAG Reserved Spirits Operational SupportPrepare, organize, package, and mail product samples and other materials as requested.Maintain organization and inventory of sales samples and related materials.Track the distribution, movement, and return of samples and other sales inventory.Maintain visibility into sales team sample inventory, including what is being taken, returned, or otherwise distributed.Assist with organizing and preparing materials for sales meetings, customer presentations, events, and other sales activities.Coordinate shipping and mailing of sales materials and samples as needed.Maintain accurate records related to sample and inventory activity.Provide general administrative and operational support to the Sales Enablement Manager.Assist with additional TAG Reserved Spirits operational needs and projects as assigned.Qualifications & Skills2+ years of experience in office management, administrative coordination, operations, or a related role preferred.Highly organized with strong attention to detail.Able to manage multiple tasks and priorities simultaneously.Strong follow-through and ability to independently identify and complete tasks.Professional and responsive communication style.Comfortable interacting with employees at all levels, executives, candidates, visitors, vendors, and external partners.Strong computer and organizational skills.Ability to maintain accurate records and manage inventories.Professional demeanor and ability to maintain confidentiality when handling employee and company information.Excellent written and verbal communication skills.Has a reliable vehicle for a small amount of work related tasksAbility to lift and carry up to 30 pounds as needed.Work ExpectationsThis position is an in-office role and requires consistent physical presence during standard business hours of Monday through Friday, 8:30 AM–5:00 PM, for a total of 40 hours per week. The current base salary is $50,000.The Office Manager will be responsible for a broad range of recurring and ad hoc responsibilities. The role requires someone who is comfortable being the primary point of contact for a variety of office needs, responding to requests as they arise, managing competing priorities, and ensuring that administrative and operational details are completed accurately and on time.The successful candidate will be proactive, dependable, highly organized, and willing to take ownership of both routine responsibilities and unexpected needs that arise throughout the workday.
