Applications include reducing data center energy loss, boosting processing speeds, and optimizing data transfer for AI, high-performance computing, and 5G/6G applications.About the RoleThintronics is seeking an experienced, resourceful, and highly organized Office Manager to help keep our growing company running smoothly.This is a hands-on, highly varied role for someone who has made office administration and workplace operations a professional career and takes pride in being the person others can rely on to get things done. The Office Manager will oversee the day-to-day administrative needs of our Alameda headquarters and support employees, leadership, People Operations, and other functions across the company.We are looking for a versatile generalist who is comfortable wearing many hats. On any given day, this could mean coordinating an employee's onboarding, arranging travel for a visiting candidate, resolving an issue with a vendor, purchasing laptops or office supplies, organizing a company event, helping coordinate an office move, or taking ownership of an unexpected administrative need.This role works closely with our People Ops, Finance and Administration and the Facilities Manager but has a distinct focus on office administration, employee and visitor logistics, vendors, purchasing, travel, and general business support.The right person will be experienced enough to operate independently, practical enough to handle everyday tasks personally, and flexible enough to grow into new areas of responsibility as the company evolves.What You'll DoOwn the day-to-day administrative operations of Thintronics' Alameda office and serve as a primary resource for employees' general office needsCoordinate visitors, candidates, meetings, onsite interviews, catering, and other office logisticsManage relationships with office vendors and service providers, including coordinating services, resolving issues, and supporting invoice and payment processesManage purchasing and procurement of non-technical supplies and equipment, including office supplies, computers and electronics, furniture, kitchen supplies, and other general company needsSupport employee onboarding and offboarding logistics in partnership with People Operations, IT, and Facilities, including workspace preparation, equipment, access coordination, first-day logistics, and return of company propertyCoordinate employee, candidate, and visitor travel arrangements, including flights, hotels, ground transportation, and related logistics as neededSupport People Operations with administrative and onsite needs, employee events, documentation, and other projectsCoordinate office moves, seating changes, workspace setup, and other workplace logistics in partnership with the Facilities ManagerManage incoming and outgoing mail, packages, deliveries, shipments, and other routine office servicesHelp plan and execute company meetings, team events, celebrations, meals, and other employee activitiesMaintain organized records for vendors, purchasing, office services, equipment, and administrative processesIdentify opportunities to improve administrative processes and implement practical systems that make the company run more efficientlyTake ownership of special projects and unexpected administrative needs as they ariseExpand into new responsibilities over time based on the evolving needs of the companyWhat We're Looking For5+ years of professional experience in office management, administrative operations, workplace coordination, or a related roleDemonstrated experience independently managing the administrative needs of a busy professional workplaceA genuine interest in office management and administrative operations as a long-term professional careerHighly organized and dependable, with strong attention to detail and the ability to manage multiple priorities simultaneouslyResourceful and proactive, with a demonstrated ability to identify problems, determine what needs to be done, and carry tasks through to completion without extensive oversightStrong interpersonal skills and a service-oriented approach to supporting employees, candidates, visitors, vendors, and leadershipExperience managing vendors, purchasing, travel, events, and workplace logisticsStrong written and verbal communication skills and professional judgmentComfortable working across functions and interacting with employees at all levels of an organizationComfortable working in a fast-paced environment where priorities can change quickly and responsibilities do not always fit neatly within a job descriptionWillingness to handle both significant projects and routine day-to-day tasks with the same level of ownership and professionalismStrong working knowledge of common workplace productivity and administrative toolsExperience supporting People Operations, HR, finance, procurement, or executive administration is a plusExperience in a startup, technology, R&D, laboratory, or other rapidly growing environment is a plusImpact – Why This Role MattersAs Thintronics grows, the complexity of running the company grows with it.
