Office Manager (Commercial General Contractor)Location: Palm Beach Gardens, FLSalary: $25–$35/hour, depending on experienceAbout TrueBuild GroupTrueBuild Group is a growing commercial general contractor specializing in private and public-sector construction projects throughout South Florida. Our work includes new construction, renovations, municipal facilities, water and wastewater infrastructure, libraries, community centers, parks, and other commercial projects.We are looking for an experienced and highly organized Office Manager to become an integral part of our growing team.What You'll DoThis is a full-time, on-site position at our Palm Beach Gardens office. The Office Manager will oversee the day-to-day administrative and accounting functions of the company while supporting preconstruction and project operations.Key responsibilities include:Office Administration: Manage correspondence, documentation, scheduling, reminders, and general day-to-day office operations.Accounts Payable & Receivable: Process vendor and subcontractor invoices, customer billing, payments, and maintain accurate financial records.Payroll & Certified Payroll: Process weekly employee payroll and prepare certified payroll documentation for applicable public projects.Subcontract Administration: Prepare and maintain subcontract agreements, vendor documentation, COIs/insurance requirements, and related records.Lien Releases & Notices: Track and manage lien releases, Notices to Owner, and other required payment documentation.Preconstruction & Bid Coordination: Review bid requirements, organize bid documents, coordinate subcontractor proposals and bid bonds, and assist with timely bid submissions.Permitting & Inspections: Coordinate permit applications, inspections, and related communication with municipalities.Project Administration: Support project managers and field staff with documentation, subcontractor/vendor coordination, and other administrative needs.What We're Looking ForPrevious office administration, accounting, or construction administration experienceStrong organizational skills and attention to detailExcellent written and verbal communication skillsAbility to manage multiple priorities and deadlinesQuickBooks experience requiredFamiliarity with construction terminology and documentationPrevious experience with a general contractor or construction company strongly preferredExperience with AP/AR, payroll, subcontract administration, or project accounting preferredCertified payroll and public-sector construction experience is a plusBluebeam experience is a plusAssociate's degree in Business Administration, Accounting, Construction Management, or related field preferredCompensation & BenefitsCompensation: $25–$35/hour, depending on experienceBonus: Eligible for performance-based bonuses and annual performance reviews401(k): Company retirement plan with 3% company matchPaid Time Off: Sick days and paid vacation daysPaid Holidays: Company-observed holidaysProfessional Development: Training and professional development opportunitiesMileage: Business mileage reimbursement as applicable
