The Office Manager runs day-to-day operations of the company's main office in Union Square to support the team by keeping the office and the admin workflows functioning so property teams can focus on the tenants and owners.ResponsibilitiesManage office operations: office supplies, IT equipment, snacks and beverages stocked in the pantry and fridge, mail and packages. Own scheduling and coordination for monthly all-hands meetings including the agenda and catering as well as company-wide events such as off-sites. XL will have holiday parties, trips to baseball games, lunches, etc. for the staff Serve as first point of contact for the office by greeting visitors and routing inquiries to the right department (accounting, buildings, pied a terre, units, and leasing)Set up and deactivate utility accounts (electric, natural gas, etc.) for units and buildings as neededSupport onboarding logistics for new hires: workstation setup, software logins, gathering W4, looping new hires with our health insurance broker. Track office budget and expenses and look for improvements for efficiency and cost-savings. Help maintain office records and filing systems, both physical and digital.Support HR-adjacent admin tasks: PTO tracking, organizational charts, seating assignments, general office organizationAssist Director of Operations and department heads with ad hoc administrative projects including granting access at properties as neededManage incoming/outgoing mail and deliveries, ensuring items are routed to the correct team member.Gather feeback from staff for items they want stocked in the pantry and fridge and monthly all hands meetingSchedule and host lunch-and-learns with outside vendors for staff education.Plan additional staff events — holiday parties, outings, and in-office "surprise and delight" momentsQualifications1-2+ years of office management or senior administrative experience; real estate or property management background preferredProficiency with Microsoft Office/Google Workspace; familiarity with AppFolio or Monday.com software a plusStrong organizational skills — able to juggle multiple departments' needs without dropping thingsClear written and verbal communicationComfortable working independently and making judgment calls on office logisticsCompensation & Schedule Yearly compensation $60-75k based on experience, end of year discretionary bonus, in-office Monday through Friday 9am-6pm, contributions to health insurance.
