We are committed to providing compassionate, high-quality legal services with integrity and professionalism.Position Summary:The Office Services Coordinator will provide support to the Chief Operating Officer (COO)/Head of Marketing and Senior Partner to schedule appointments, manage their calendars, and provide additional assistance as needed. This position requires strong organizational, administrative, and interpersonal skills.
Key Responsibilities
Confirm non-client-related appointments per the calendar for the Chief Operating Officer (COO)/Head of Marketing and Senior Partner.Register the Senior Partner for networking meetings, industry group events, etc. as requested.RSVP for events as requested.Register Partners and presenters for conferences; make travel arrangements; book hotels.Schedule schmooze/networking (non-client) meetings.Complete administrative tasks assigned by the Senior Partner.Assist with Board duties (AFSP, ELIJA) for Senior Partner.Add Senior Partner contacts to Clio (business cards or forwarded e-mails).Check the outbox for the Senior Partner and deliver to whomever is noted.Assist the COO/Head of Marketing with administrative tasks to prepare for virtual and in-person events.Work closely with the HR Manager to review applications for “Senior Dreams” and coordinate wishes.Provide back-up to Client Care Coordinators in the Intake Department as needed.Cover the front desk during lunch breaks and any other time needed.Scan and destroy closed files and prepare them for shredding.Complete special projects, including clearing out the closed files in the basement.Take the mail downstairs daily.All other duties as assigned.
Qualifications
High school diploma or equivalent required.Associate’s degree or relevant technical certification is a plus.Experience in administrative support required.Ability to multitask and prioritize tasks in a fast-paced environment.Strong proficiency in Microsoft Excel and Office Suite.Excellent attention to detail and organizational skills.Strong interpersonal and communication skills.Ability to manage multiple tasks and deadlines with minimal supervision.Self-starter with a can-do attitude.Experience with elder care or trust & estates law firms a plus.
