Officer - Planning & Purchasing

Job Purpose The Officer - Planning & Purchasing is responsible for assisting in planning, procurement, and inventory management of materials, equipment, and services. This role supports ensuring that purchasing activities are aligned with operational requirements, cost-efficiency objectives, and compliance standards. The position plays a key role in demand forecasting, supplier coordination, and procurement execution.Key AccountabilityAssist in analyzing operational data to forecast material, equipment, and service requirements.Collaborate with relevant departments to develop procurement plans aligned with business needs.Support monitoring inventory levels and coordinate replenishment activities to avoid shortages or excess stock.Execute purchase orders in accordance with approved procurement plans and budgets.Support supplier sourcing activities, obtain quotations, and evaluate proposals based on cost, quality, and delivery performance.Ensure the timely delivery of goods and services to support uninterrupted business operations.Maintain effective communication with suppliers to track order status and resolve delivery-related issues.Support vendor evaluation and performance monitoring in coordination with relevant stakeholders.Assist in negotiating pricing, commercial terms, and delivery schedules with suppliers.Ensure all purchasing activities comply with organizational policies, procedures, and applicable regulations.Maintain accurate records of procurement transactions, contracts, and supplier communications.Identify opportunities for continuous improvement in systems, processes, and practices by adopting best practices, enhancing efficiency, and optimizing costs.Support audit activities and reporting requirements related to procurement and inventory management.Prepare reports, analyses, and documentation accurately and on time to meet departmental and organizational requirements, policies, and quality standards.
