Operations Systems & Process CoordinatorCompensation: $75,000 – $85,000

Location: NYCRole OverviewWe are seeking an execution-focused Operations Systems & Process Coordinator to serve as the operational anchor for our COO and executive office team.

As our business scales, this role ensures our software platforms, project documentation, and core administrative workflows run smoothly, accurately, and consistently.This is NOT an HR, corporate training, or project management position. No prior construction experience is required. We are looking for a hands-on "operational engine"—someone who naturally default to building order out of chaos, writing and enforcing Standard Operating Procedures (SOPs), managing centralized document control systems, and maintaining smooth workflow execution across the entire business.What We OfferCompetitive Compensation: $75,000 – $85,000 annual base salary based on experience.Paid Time Off: Paid vacation days, sick leave, and paid holidays.Direct Executive Exposure: Work directly alongside the COO to shape company-wide systems as we grow.Key ResponsibilitiesBuild & Document Process: Identify gaps in how work gets done, author clear step-by-step SOPs from scratch, and actively enforce compliance across internal teams to ensure processes stick.Document Control & System Ownership: Serve as the primary administrator for central office software and document repositories—managing file structures, drawings, contracts, correspondence, and operational records end to end.Workflow Integration: Keep information moving smoothly across company tools and channels, turning manual or fragmented tasks into clear, repeatable digital workflows.Operational Liaison: Act as the central administrative go-between for internal leadership, clients, external vendors, and partners on documentation, submittals, and operational milestones.Executive Operational Support: Directly assist the COO with high-priority document prep, status tracking, file organization, and day-to-day office execution.Candidate QualificationsProcess-Driven Mindset: 3+ years in operations coordination, administrative systems support, or office management with a proven track record of creating and maintaining operational order.SOP & Workflow Creation: Demonstrated experience independently writing, structuring, and rolling out operational procedures and administrative workflows.Tech-Savvy Adaptability: Ability to pick up new software tools rapidly and become the expert administrator who organizes and maintains them for the team. (Industry-specific platforms will be trained).Clear Communication & Accountability: Professional written/verbal communication skills with the confidence to hold team members accountable to established procedures.
