Operations Coordinator – TFA DubaiRole PurposeSupport the day-to-day coordination of TFA’s Dubai operations, ensuring smooth communication, documentation, scheduling and follow-up between management, customers, suppliers, project teams and international offices.Key ResponsibilitiesCoordinate daily office and operational activities.Maintain project, customer, supplier and commercial documentation.Follow up with customers, suppliers and internal teams on pending actions.Coordinate meetings, appointments, site visits and management schedules.Prepare meeting minutes, action lists and follow-up trackers.Support the Operations Manager with project and operational tracking.Coordinate with the Proposal Engineer for required customer information and proposal documentation.Follow up with suppliers/OEMs for quotations, technical documents, delivery information and required submissions.Maintain CRM/customer databases and track enquiries, proposals and opportunities.Coordinate purchase requests, quotations, deliveries and basic procurement documentation.Support travel, exhibitions, customer meetings and company events.Coordinate with TFA teams and representatives in Indonesia, Malaysia and other markets.Maintain proper filing and control of contracts, quotations, POs, invoices, correspondence and project records.Follow up on invoices, payments and administrative requirements with the responsible parties.Prepare basic operational reports and management updates.Handle general Dubai office administration and external coordination as required.Preferred ProfileBachelor’s degree or equivalent professional qualification.2–4 years' experience in operations, project coordination, engineering company administration, trading, MEP, energy or industrial sectors preferred.Strong English communication and professional correspondence skills.Good Excel, Word, PowerPoint and document-management capability.Strong follow-up and organizational skills.Comfortable dealing with customers, suppliers and international teams.UAE experience is an advantage.Technical/engineering exposure is useful, but this is not an engineering position.ReportingReports to: Operations ManagerLocation: Dubai, UAE
